The Executive Administrator will provide top-tier administrative support to the CEO and other members of the Executive Leadership Team (ELT). This role requires exceptional organizational skills, attention to detail, confidentiality, and the ability to proactively anticipate the needs of the executive team. The ideal candidate will be a strong communicator, problem-solver, and brand ambassador for the leadership team and office.
Key Responsibilities:
Executive Support

Provide comprehensive and proactive administrative support to the CEO and other members of the executive team, including calendar management, travel arrangements, and expense reporting.

Draft and edit correspondence, reports, and presentations for executives.

Serve as the primary point of contact for the CEO and ELT, managing calendars, meetings, and communications.

Ensure timely follow-up on action items and commitments made by executives.

Exercise discretion and maintain confidentiality in all aspects of work, including sensitive company matters.

Anticipate needs and proactively take tasks off leadership’s plates to maximize their time and focus.
Culture & Office Management

Act as a brand ambassador by maintaining a welcoming and professional office environment.

Organize and oversee office operations, including supplies, cleanliness, and workspace readiness.

Plan and execute office events and initiatives to enhance company culture.

Assist in onboarding new hires, preparing workspaces, and creating executive welcome packages.

Serve as the primary liaison for building maintenance, security, and office vendors.
Experience and Qualifications:

Proven experience as an Executive Assistant preferably in a fast-paced environment.

Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.

Strong written and verbal communication skills with a keen attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle confidential information with discretion and professionalism.

Proactive and resourceful problem-solving skills with a positive and adaptable attitude.

Strong interpersonal skills with the ability to build and maintain relationships across all levels of the organization.
Physical Requirements:

Ability to sit for extended periods while working at a desk and using a computer.

Capability to lift and move items weighing up to 20 pounds.
Location & Schedule:

Able to work on-site at our Tampa, FL office

Full time, 40 hours each week

Monday through Friday, core business hours of 8:00 AM to 5:00 PM locally with occasional flexibility for collaboration across time zones or to meet critical deadlines.
