Job Summary : Home Instead is seeking a dedicated and organized individual to join our team as a Client Services Administrator, Receptionist, and Office Assistant. This multi-faceted role involves managing scheduling, billing, caregiver availability, and assisting with various administrative and outreach tasks to ensure the smooth operation of our office and exceptional support for our clients and care professionals.

Key Responsibilities :

  • Scheduling :

Schedule introductions and orientations for new care professionals and clients.

  • Billing and Payroll :
  • Manage and verify all billing and payroll details every 24 hours to ensure accuracy and timely processing.

  • Care Pro Management :
  • Manage changes in Care Pro availability and ensure schedules are updated accordingly.

  • Conduct 30-day touchpoints for all care professionals to ensure they feel supported and address any concerns.
  • Event Planning :
  • Assist in planning and organizing events for caregivers and key team members to foster a sense of community and appreciation.

  • Communications :
  • Develop and distribute a monthly newsletter for clients and care professionals, sharing important updates, success stories, and upcoming events.

  • Phone Management :
  • Answer incoming calls, route them appropriately, and respond to straightforward questions and requests from clients and caregivers.

  • Community Outreach :
  • Participate in community outreach efforts to support recruitment and attract new talent to our team.

  • Administrative Support :
  • Perform various administrative duties as assigned to support the Business and Office Managers and ensure the efficient operation of the office.

    Qualifications :

  • Strong organizational and multitasking abilities to manage various responsibilities effectively.
  • Excellent written and verbal communication skills to interact professionally with clients, caregivers, and team members.
  • High level of attention to detail and the ability to handle sensitive information with confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) to manage tasks efficiently.
  • Friendly and professional demeanor with a passion for helping others and contributing to a positive work environment.
  • Working Conditions :

  • Office environment with regular working hours, Monday through Friday.
  • Occasional evening or weekend hours may be required for special events or urgent tasks.
