Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team in Rockville, MD. This role primarily involves supporting office operations, with a focus on insurance-related tasks, general administrative duties, customer follow-ups, and billing. The ideal candidate will be a team player who can handle calls, track job progress, process invoices, and compile weekly reports to keep our operations running smoothly. Experience with QuickBooks, CoreLogic, Xactware, DASH, Mitigate, and Hover apps is a plus. Spanish-speaking ability is also a plus.
Key Responsibilities:
- Answer and direct phone calls in a professional manner.
- Communicate with insurance companies, adjusters, and clients regarding claims and project updates.
- Follow up on pending matters, ensuring timely responses and resolutions.
- Maintain organized records of job files, correspondence, and documentation.
- Assist with scheduling appointments and coordinating with field teams.
- Manage billing tasks in QuickBooks, including generating invoices, processing payments, and reconciling accounts.
- Support the preparation of reports, invoices, and other administrative documents.
- Compile and submit a weekly report summarizing completed tasks, pending issues, and follow-ups.
- Perform general office duties, including filing, data entry, and ordering supplies.
- Work collaboratively with team members to ensure smooth office operations.
- Utilize CoreLogic, Xactware, DASH, Mitigate, and Hover apps to assist with documentation and workflow (preferred but not required).
Qualifications:
- Prior experience in an administrative role, preferably in a construction or insurance-related field.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with QuickBooks for billing and invoicing tasks is required.
- Ability to multitask and prioritize tasks efficiently.
- Detail-oriented with strong organizational skills.
- Comfortable working in a fast-paced, team-oriented environment.
- Familiarity with CoreLogic, Xactware, DASH, Mitigate, and Hover apps is a plus.
- Spanish-speaking ability is a plus.
