The Benefits Administrator is responsible for the overall administration of corporate health and welfare benefits (medical, dental, vision, FSA, HSA, COBRA, voluntary benefits, EAP), life insurance, paid time off, ESOP, and 401(K). The Administrator will partner with third-party vendors and the insurance broker to administer all benefit plans.
The Benefits Administrator reports to the Director of Human Resources Operations.
Essential Duties and Responsibilities
- Daily administration of self-funded non-union (corporate) health and welfare plans, monitoring third-party administrators and associated vendors for approximately 420 members.
- Participate in developing policies and procedures to ensure benefits programs comply with local, state, and federal regulations.
- Support developing, coordinating, and distributing benefits communications, facilitating virtual benefits meetings and on-site benefits workshops.
- Administer the corporate benefits annual enrollment process, post-enrollment audits, plan integrations, and compliance activities in addition to managing new hire, rehire, and life event enrollments in accordance with plan documents.
- Audit benefits deductions each pay cycle and be responsible for identifying and correcting data issues in Paycom.
- Review, prepare, and reconcile monthly and quarterly corporate benefits-related invoices for processing.
- Partner with the Human Resources Analyst in responding to internal department and third-party vendor requests, and provide analysis of variances and exception expenses.
- Prepare and perform year-end activities and government reporting requirements for health and welfare plans and retirement plans, including the corporate 401k and company ESOP in coordination with vendors and external auditors (5500, ACA, etc.).
- Administer and maintain all plan documents and benefits records.
- Resolve administrative problems with the carrier representatives and respond to employee concerns.
- Partner with the HR Managers and the Leave Specialist to ensure leaves of absence, including FMLA, ADA, maternity, military, and unpaid leaves are managed appropriately and in coordination with all benefit plan documents and applicable federal, state, or local regulations.
- Oversee COBRA administration with the third-party vendor.

Education & Experience
- Requires a bachelor’s degree in accounting, HR, or a related field or equivalent work experience with an emphasis on benefits administration.
- CEBS designation a plus.
- Requires 3 to 5 years of experience administering 401k programs, including integration with payroll for deductions, loan administration, hardship withdrawals, compliance audits, and annual filings.
- Requires at least five years of experience administering self-funded medical and disability benefits programs in a multi-state company.
- Minimum of 3 years of experience in accounting or payroll, focusing on auditing benefits deductions, conducting data analysis, and reconciling invoices.
- Advanced knowledge and experience in Excel including performing complex tasks such as generating graphs and tables, frequent work with vlookups and pivot tables, performing calculations and data analysis, and computerization processes.
- Excellent organizational skills and attention to detail.

- Experience with Paycom, UKG, or ADP preferred.
- Experience in administering an ESOP program is a plus.
