JOB SUMMARY
The Day Shelter Receptionist role is responsible for establishing a welcoming and professional first impression for Day Shelter guests, volunteers, and visitors. Additional areas of responsibility include checking guests in upon arrival and other general administrative activities to help the Day Shelters services and resources run as smoothly as possible.
RESPONSIBILITIES
Serve all Day Shelter visitors by greeting, welcoming, and directing them appropriately.
Assist guests checking into the shelter, answer questions with as much knowledge as the staff has on the subject and be courteous.
Manage guests using lockers and assist with the associated tasks.
Perform other office and clerical tasks as needed.
Coordinate with satellite agency representatives, off duty police officer, staff, volunteers, and community visitors.
Schedule all time off with Day Shelter Director or with the Associate Director of Advocacy and in Paycom
Make HMIS Shelter cards for guests as needed or type in guests name as they arrive at the facility to check them in.
Maintain filing system, clean front desk area, and reception area.
REQUIREMENTS
The ability to answer questions with as much knowledge as possible.
Ability to type a minimum of 30 WPM
Strong understanding and use of computer skills
The ability to work flexibly to the differing demands of the role: working with people, managing the daily activities of the Day Shelter, dealing professionally with colleagues from partnering agencies.
Highly effective people skills:
Ability to demonstrate empathy
Exceptionally good listening skills
Ability to use defusing techniques to deal with conflict
Able to relate well with people from a variety of diverse backgrounds: especially vulnerable, those with mental illness, substance abuse, etc.
Be able to keep pace with the daily demands of the job
IT literate: confident user of MS Outlook, Word, Excel, email, internet browsing, and general computer usage.
Perform other duties and responsibilities as requested in a professional, courteous, and helpful manner.
Note: All staff members are responsible for treating all clients, volunteers, guests, and other employees in a courteous and respectful manner.
EDUCATION & WORK EXPERIENCE
A minimum of a High School diploma or GED required.
General knowledge of Microsoft 365
PHYSICAL REQUIREMENTS
Sitting or standing for extended periods of time.
Occasional lifting (light-medium weight) of materials for laundry, cleaning, receiving donations or other activities.

WORK ENVIRONMENTS
The employee will work in a normal office environment and all areas of the Day Shelter and WestTown Campus. Hectic situations can occur in the public area of the facility characteristic to working with the homeless community and the related concerns and situations related to homeless conditions. Potential exists for volatile and unpredictable situations to occur. Exposure to strong odors such as soiled clothes and poor hygiene, are common.
