The position provides marketing and front desk administrative support for agents and staff.  The Marketing & Front Desk coordinator supports the office’s marketing initiatives, coordinates agent marketing needs and maintains a welcoming and professional front desk presence.

Job Duties and Responsibilities (Essential Job Functions) Common job activities are listed below; actual position responsibilities may vary.  Refer to your manager or human resources for specific duties and performance expectations.

1. Marketing Duties (70%)

  • Create and distribute marketing materials (flyers, postcards, brochures, social media graphics, etc.)
  • Manage office social media accounts and content calendars
  • Coordinate email campaigns, and announcements
  • Maintain office website listings and promotional content
  • Support agents with branding and marketing collateral
  • Organize and promote open house and office events
  • Track marketing metrics and engagement reports
  • Collaborate with vendors for printing, signage, and branding materials

2. Front Desk / Reception Duties (30%)

  • Greet and welcome clients and visitors in a professional manner
  • Answer and route incoming calls, take messages when necessary
  • Manage office email and general inquiries
  • Maintain a clean and organized front desk and common areas
  • Receive and sort mail and deliveries
  • Provide general administrative support to agents and management

Performance Expectations

  • Meet all performance and behavior expectations outlined in the company performance appraisal form or communicated by management.
  • Perform responsibilities as directed achieving desired results within expected time frames and with a high degree of quality and professionalism.
  • Establish and maintain positive and productive work relationships with all staff, customers and business partners.
  • Demonstrate the behavioral and technical competencies necessary to effectively complete job responsibilities. Take personal initiative for technical and professional development.
  • Follow the company HR Policy, the Code of Business Conduct and all subsidiary and department policies and procedures, including protecting confidential company information, attending work punctually and regularly, and following good safety practices in all activities.

Qualifications

Education:

  • High school diploma or equivalent.

Experience:

  • Social media content
  • Front Desk/Reception

Knowledge and Skills:

  • Strong computer skills
  • Effective oral and written communication skills. A customer service focus.
  • Effective analytical and problem-solving skills. Detail oriented.  Flexible and adaptable.
  • Ability to prioritize and handle multiple tasks and projects concurrently. Project management and organizational skills.

Wage:   $21.00 - $23.00 hourly; actual wage is based upon education and experience.
