Job Description

We are seeking a highly organized and personable Administrative Coordinator to be the first point of contact for our office. This role is a blend of reception duties, property management support, sales assistance, marketing support, and general administrative tasks. The ideal candidate thrives in a fast-paced environment, has excellent communication skills, and enjoys providing top-tier customer service.

Key Responsibilities:

Front Desk & Reception Duties

  • Greet and assist visitors, clients, and vendors with professionalism and a friendly demeanor.
  • Manage incoming calls and emails, directing inquiries appropriately.
  • Maintain a clean, organized, and welcoming front office environment.

Property Management Support

  • Assist with customer service related to leasing inquiries, applications, and tenant concerns.
  • Coordinate property maintenance requests and work orders with vendors and tenants.
  • Keep records updated in CRM software for leases, tenant communications, and maintenance schedules.

Marketing & Event Planning Support

  • Assist the Director of Marketing with administrative tasks.
  • Support event planning efforts, including logistics coordination, vendor communication, and promotional material preparation.
  • Help manage marketing materials, digital assets, and social media scheduling.
  • Assist with tracking marketing campaign performance and compiling data for reports.

General Administrative Support

  • Handle incoming and outgoing mail, packages, and office supplies.
  • Assist with document preparation, data entry, and filing.
  • Support office projects and administrative tasks as needed.

Sales Support & Lead Management

  • Assist sales associates in processing and organizing new leads.
  • Track and follow up on lead inquiries to ensure timely responses.
  • Maintain lead databases and CRM updates for the sales team.

Qualifications & Skills:

✔ Strong customer service skills and a professional demeanor.

✔ Excellent organizational and multitasking abilities.

✔ Ability to handle a variety of administrative tasks efficiently.

✔ Familiarity with CRM software and Microsoft Office Suite.

✔ Strong written and verbal communication skills.

✔ Experience or interest in marketing and event coordination is a plus.
