Job Summary: The Administrative Assistant provides administrative and clerical support, data coordination duties, and office support for the HonorBridge Leadership Team. This position deals with a diverse group of external as well as internal contacts at all levels in the organization. Independent judgment is required to plan, prioritize and organize diversified workload and recommends changes in office practices and/or procedures.

- Serves as the HonorBridge Travel Coordinator
- Arrange travel for team members, including booking flights, hotels, and ground transportation.
- Prepare detailed itineraries and ensure all travel-related documentation is accurate and up-to-date.
- Monitors cost-effective solutions while maintaining quality and convenience.
- Resolve any travel issues or disruptions promptly and efficiently.
- Provides clerical support for the organization
- Creates and modifies documents using Microsoft Office.
- Performs general clerical duties to include but not limited to: scheduling meetings, photocopying, faxing, mailing, and filing
- Answers the telephone and routes calls to appropriate staff

- Provides support planning annual companywide events.
- Serves as a backup for the secretary/receptionist in the Chapel Hill Office.
- Provides coverage when the secretary/receptionist is out of the office for the day or lunch periods.
- Provides other lobby coverage as directed by supervisor.
- Is stationed in the Chapel Hill lobby area when serving as backup to the position.
- Serves visitors by greeting, welcoming, directing and announcing them appropriately.
- Assists in setting up the large conference room for meetings.
- Supports the HonorBridge Safety Program
- Assists the Manager of Facility Services in administering the safety program.
- Receives safety incident reports and distributes to appropriate personnel and/or departments.
- Schedules safety meetings.
- Responsible for documenting (taking minutes) of safety committee meetings and creating action items.
- May assist in safety inspections.
- Provides administrative support to the Leadership Team
- Schedules meetings and maintains departmental meeting calendars.
- Provides support in taking meeting minutes, maintaining meeting agendas, assists in tracking meeting follow-up items.
- Handle confidential and sensitive information with discretion.
- Coordinates onsite Executive & Leadership Team meetings.
- Maintains a standard for continual quality improvement
- Sets and achieves annual performance goals.
- Collaborates with Office Manager & Executive Assistant to the CEO to ensure continuous quality improvement.
- Performs other duties as assigned by direct supervisor
Physical Requirements: Sitting, standing, occasional lifting (up to twenty pounds), finger dexterity, eye-hand coordination, and visual acuity
Work Environment: normal office environment, occasional automobile travel within service area
What we are looking for:
- High School diploma or equivalency, Associates Degree preferred, 2 years of secretarial/administrative assistant experience preferred.
- Demonstrated interpersonal and communication skills,
- Demonstrated knowledge of medical and health industry terminology helpful
- Understanding of mathematical concepts
- Ability to analyze and interpret data, knowledge of word processing, spreadsheet applications, database programs
- Working skill and knowledge of Microsoft Office Suite applications
- Commitment to organ and tissue donation.
