As the Administrative Bid Manager, you will need to have demonstrated ability in planning, producing and delivering compliant proposal documents within a complex business environment. An essential part of this position includes the introduction and implementation of all necessary document version control procedures and processes. The highest levels of attention to detail, the ability to work under pressure in meeting tight deadlines, and a strong focus on organization are a requisite for success in this role.
Principal Accountabilities :
- Serve as the primary point of contact for bid-related inquiries and correspondence with clients.
- Coordinate the end-to-end bid process with the production and delivery of compliant, professionally produced proposals within customer defined timeframes.
- Serve as the central point of contact for bid activities, facilitating clear and effective communication among a variety of stakeholders, typically involving contributions from project management, department heads, marketing, accounting & finance, and legal.
- Assist Project Management teams with the bidding process by performing tasks such as updating the bid log and calendar, maintaining both electronic and physical job files and archives, and organizing bid documents to ensure proper documentation and easy accessibility.
- Complete all prequalification packages by gathering, coordinating and consolidating necessary documents developed by various sources into the required tender format.
- Address questions and problems with urgency; collaborate as needed.
- Attend proposal kick-off meetings and review meetings as necessary.
- Review all proposals to confirm compliance with client requirements, performing final checks for accuracy, grammar, and completeness before submission.
- Ensure proposal documents follow corporate branding guidelines, standard formatting and quality standards.
- Order bonds, certificates of insurance, and other required documents.
- Plan and coordinate office meetings and field training; including reserving venues, hotel rooms and catering when needed.
