The Paralegal/Administrative Assistant provides critical support to attorneys in probate, estate administration, and corporate law matters. This role involves assisting with estate planning, probate filings, business entity formations, and corporate governance while ensuring compliance with legal requirements.Additionally, this role will be responsible for conducting legal research, managing case files, complying with court deadlines, drafting legal documents and responses to discovery, and assisting with trial preparation, as needed.


ESSENTIAL FUNCTIONS


Probate:

Prepare and file probate documents, including petitions, inventories, and estate accountings.

Assist with estate administration, asset distribution, and communication with executors and beneficiaries.

Corporate:

Draft and review corporate formation documents, operating agreements, bylaws, and resolutions.

Maintain corporate records, draft meeting minutes, and ensure compliance with regulatory requirements.

Conduct legal research and gather information for cases involving estates, trusts, and business entities.

Communicate with courts, government agencies, clients, and financial institutions.

Support attorneys in drafting contracts, business transactions, and mergers and acquisitions.

Document Preparation:

Draft, review, and revise legal documents, including contracts, pleadings, affidavits, motions, and discovery materials.

Assist in the preparation of legal arguments, briefs, and memoranda.

Administrative Support:

Coordinate and manage attorney calendars, including scheduling meetings, depositions, and court appearances.

Schedule depositions, hire court reporters, and schedule pre-depo meetings with client and attorney.

Handle administrative tasks such as billing, filing, and document management. Maintain organized hard copy and electronic files for all cases.

Compliance and Confidentiality:

Maintain confidentiality of all client and case information.

Ensure compliance with legal and ethical standards.


QUALIFICATION/REQUIREMENTS


EDUCATION and/or EXPERIENCE

Education: Associates or Bachelor's degree in Paralegal Studies. Paralegal certification from an ABA-approved program preferred.

Experience: 3-5 Years previous experience as a paralegal or legal assistant in probate, corporate law or litigation.

Skills:

  • Proficient in legal research tools (e.g., Westlaw, LexisNexis) and eDiscovery platforms.
  • Exceptional organizational skills and attention to detail.
  • Ability to handle high-pressure situations and tight deadlines.
  • Proficient in Microsoft Office Suite and legal document management systems.
  • Fast learner with a strong personal drive/motivation for continual improvement
  • Able to work independently while also thriving in a team-based environment
  • Exceptional interpersonal, verbal and written communication skills
  • Strong written communication skills: writing, grammar and editing skills
  • Strong analytical and problem-solving skills
  • Ability to embrace challenges and be a proactive problem solver
  • Ability to communicate effectively and build strong working relationships at multiple levels across the organization

ADDITIONAL QUALIFICATIONS


Litigation Paralegal experience is a plus, as is experience working across practice areas.
