As our Office Coordinator & Billing Clerk, you will play a crucial role in ensuring smooth operations and client satisfaction. Working along side our Chief Operating Officer, you will manage accounts payable and receivable, our client billing processes, coordinate office needs, and provide exceptional support to our staff and attorneys.
The right person will have a strong background in customer service and administrative tasks, with experience in billing, accounts payable and receivable, logistics, process improvement, and client satisfaction. We are looking for an individual who wants to help our team behind the scenes to create a better client experience from the first interaction to the last, and beyond.
Duties
- Prepare and issue invoices to clients in a timely manner.
- Maintain accurate billing records, ensuring all transactions are properly documented.
- Process payments to vendors and follow up on outstanding invoices.
- Assist with payroll processing.
- Assist in managing our Appleton, Green Bay, and Oshkosh office locations with tasks such as vendor relationships, supply ordering, scheduling, and event planning.
- Utilize QuickBooks for financial tracking and reporting purposes.
- Provide administrative support as needed to ensure efficient office operations.
Skills
- Experience with office management or similar function.
- Experience as an administrative assistant or similar administrative role.
- Knowledge of QuickBooks or similar accounting software.
- Excellent time and priority management skills to coordinate meetings requests effectively and efficiently.
- Strong planning skills to assist in organizing events and functions.
- Exceptional organizational skills with attention to detail in all tasks.
- Effective communication skills, both verbal and written.

Schedule:
- Monday - Thursday, 8am to 5pm
- Friday, 8am to 12pm
- Occasional evenings or weekends as needed.
