Job Position: Bilingual Office Administrative Assistant
Pay: $19 per hour
Schedule: Full-time 40hours a week, 9am-5pm Monday to Friday. 1099 position
Location: Rock Hill, SC
The Office Administrative Assistant will support the team as well as serve as the main contact for the office. We are seeking an individual to help our organization grow and keep us on track.
Duties (will be explained in detail during interview process):
- Answer incoming phone calls, email, and providing information, and addressing inquiries
- Schedule appointments and maintain calendars
- Schedule and coordinate staff and other meetings
- Receive and distribute mail, either physically or electronically
- Prepare communications, such as memos, emails, invoices, reports and other correspondence
- Write and edit documents from letters to reports and instructional documents
- Create and maintain filing systems, both electronic and physical
- Compiling, maintaining, and updating company records
- Managing office inventory and working with vendors to ensure the regular supply of office materials
- Setting up appointments, scheduling meetings, distributing reports and managing the correspondence between the office and external bodies
- Compiling and maintaining records of business transactions
- Operating office equipment including printers, copiers, fax machines, etc.
- Assisting the administrative team in other various duties
- Data entry, filing and keeping accurate files and records
- Responsible for office internal and external correspondence
- Producing, reviewing, and sourcing invoices
- Assist with Intake and Referral tasks
- Obtain client signatures for assessment/intake
- Other duties that are required to make an office run smoothly
Qualifications:
- Bilingual: Fluent in both English & Spanish --> This is non-negotiable.
- Communication skills including both written and speaking proficiency in both languages (English and Spanish).
- High School diploma
- Proficiency in office software applications such as Microsoft Office (Word, Excel, Outlook) , Adobe, HelloSign and Docusign, and electronic health record (EHR) systems.
- Excellent organizational skills with the ability to multitask and prioritize tasks effectively.
- Service orientation: Actively looking for ways to help people, willing to collaborate, and happy to assist others. A true leader that can collaborate and execute as an individual.
- Time management skills: display excellent capacity for managing time, meet deadlines, and assess unforeseen priority needs.
