Schedule: Full-time non-exempt, 40 hours/week, Monday- Friday 8:00am-5:00pm
Pay rate: $22.86/hour

Position Description:
Under the supervision of the Human Resources Director, the Administrative Assistant is responsible for providing high level administrative, clerical and human resources support to the Leadership Team. Additionally, this position assists the Training Manager in researching potential training options for the agency, ensuring that all staff are proficient in skilled areas of performance expectations. This position consists of coordinating trainings for new hires and the on-going training for all staff as well as tracks and organizes the training attendance.
ESSENTIAL DUTIES and RESPONSIBILITIES: include the following. Other duties may be assigned.
- In collaboration with the Training Manager, develops a program delivery schedule that provides training as needed and in locations that work for participants.
- Create, track and update all agency forms as required
- Assist Leadership Staff with projects as required
- In collaboration with the Executive Assistant, plan and execute annual employee appreciation event.
- Covers the front desk in the absence of the Office Assistant
- Assume primary responsibility for the planning, editing, e-blast of agency external newsletter. Responsible for maintaining of agency brochures and web site.
- Coordinate agency involvement in community events such as cultural and health fairs, The Walk for Mental Health, etc.
- In collaboration with the Leadership team, coordination of volunteers.
- Coordinate clerical involvement with human resource department to maintain job descriptions as directed by the Human Resources Director
- Coordinate other clerical duties for the Human Resources Director as requested.
- Responsible for all social media posts.
- Other duties as assigned
- Ensure the protection and confidentiality of all Protected Health Information (PHI) by following all policies and procedures in the HOPE COOPERATIVE HIPAA Manual.
- Regular and predictable attendance required.
Education and/or Experience:
- Work experience as an Administrative Assistant or similar role
- Experience organizing training activities in a corporate environment
- Proficiency in Learning Management Systems (LMS)
- Excellent communication skills
- Strong presentation skills.
- Adept with a variety of multimedia training platforms and methods.
- Consumer of mental health services or a family member of a mental health consumer is desirable.
Other Skills, Abilities, and Job Requirements:
- Must be able to handle daily responsibilities and projects with minimal direction
- Must have the ability to safely operate office equipment where necessary
- Ability to manage one’s own time and coordinate the priorities of work orders and other responsibilities in order to ensure timely competition of required duties
- Ability to manage one’s own tasks and proactively communicate about those tasks with the necessary parties
- Work overtime as requested and approved
- Regular, predictable attendance is required
- Ability to get along and work effectively with others
