Clinic Administrative Coordinator (Part-Time, 16Hours/Week)

Position Summary:
The Clinic Coordinator will provide essential administrative and patient support to ensure smooth daily operations at our clinic. Reporting to the Executive Director, this role requires a proactive, organized, and solutions-oriented individual who takes ownership of the operational functions of the clinic. Strong organizational skills, attention to detail, and a compassionate approach when assisting patients and providers are required. The ideal candidate is a self-starter who can identify opportunities for process improvements, support providers efficiently, and create a seamless experience for patients.

Key Responsibilities:
Administrative & Clinic Operations
- Oversee daily front office operations to ensure efficiency and a positive patient experience. * Manage provider schedules, patient flow, and appointment coordination. * Answer and direct phone calls, respond to voicemail messages, and manage website inquiries. * Maintain and improve clinic operational processes, ensuring smooth workflow. * Ensure the clinic environment remains organized, clean, and welcoming for patients, volunteers, and staff. * Assist the Executive Director with daily administrative tasks. * Order and maintain office and medical supplies in coordination with providers.
Patient Coordination & Clinic Support
- Serve as the primary point of contact for patients. * Greet and check in patients, creating a comfortable and supportive environment. * Verify patient eligibility and assist with scheduling, reminders, and confirmations. * Check patients out and provide necessary follow-up instructions. * Communicate effectively with patients, providers, and external partners to ensure continuity of care. * Assist providers with referrals, lab work, imaging, and documentation. * Coordinate with volunteers to support clinic operations.
Other Duties
- Work closely with the Executive Director to anticipate needs, address challenges, and drive improvements. * Take initiative in problem-solving and process streamlining. * Perform other tasks assigned by the Executive Director to support the clinic’s mission and operations.
Qualifications & Skills:
- Commitment to serving with discretion, humility, excellence, and compassion. * Strong organizational skills with a proactive and solutions-focused mindset. * Preferred: Experience in a medical or dental office/clinic setting. * Proficient in computer programs, including Microsoft Office, Google Docs. Experience with Electronic Medical Records/EMR platforms (Agastha, Eaglesoft, Epic, specifically) is not required, but is a plus. * Strong communication and interpersonal skills, in person, over the phone, and via email. * Ability to work independently, multitask, and remain calm in a fast-paced environment. * Willingness to seek guidance when faced with challenges beyond current knowledge. * Bilingual (Spanish) is a plus.
Schedule & Work Environment:
- Expected Hours: 16 hours per week, Monday–Friday, 8:30AM–12:30 PM (with flexibility as needed). * Work Location: On-site at our clinic. * This position requires regular interaction with patients, providers, and volunteers in a healthcare setting.
Compensation and Benefits:
- Compensation will be determined based on experience. * Paid Holidays: The Clinic Administrative Coordinator will receive paid time off for major holidays when the clinic is closed.
