Position Summary:
The Assistant Warehouse Manager supports the Warehouse Manager in overseeing daily operations to ensure efficient, safe, and accurate management of inventory, logistics, and team activities. This role involves supervising staff in the Manager’s absence, coordinating shipments, and maintaining compliance with organizational policies and safety regulations. The Assistant Warehouse Manager plays a key role in optimizing workflows, improving efficiency, and contributing to the overall success of the warehouse team.
Job Functions, Unique Duties and Responsibilities:
Essential Functions include but are not limited to the following:
General
• Follow the administrative guidelines and policies established.

• Exercise due care and stewardship of resources, including equipment, food, money, volunteer and staff time.
• Be aware of the general physical environment for the health and safety of all people and proper maintenance of facilities.
Coordination of Warehouse Operations
• Oversee quality control of government and donated commodities.
• Assist in the supervision of warehouse staff in absence of the Manager.
• Work with warehouse team leader to ensure adequate food is available for emergency food distribution.
• Coordinates supplies and equipment for Annual Letter Carriers’ Food Drive.
• Assist with coordinating mobile pantry distribution and pick up.
• Collect data on guests served from agencies supported by HVA.
• Ensure employees and volunteers are well qualified and capable for assigned duties, with special care taken to insure the qualifications and abilities of drivers and those operating machinery.
• Fill in as a driver as needed.
Coordination of USDA Operations
• Ensures that TEFAP and Food Bank foods are separated and organized.
• Responsible for multiple inventories during the month and for maintaining inventory records related to the Food Bank/TEFAP Foods.
• Ensures even distribution of USDA Commodities to contracted sub-distributors and sub-sites.
• Ensure all records are in order for monitoring visits with sub-distributors, including but not limited to compliance with warehousing, distribution, and refrigeration of USDA Commodities. This includes annual visits and intermittent visits if a problem is suspected.
• Responsible for all paperwork related to shipping, receiving and distribution of USDA Commodities for monthly reporting including log sheets for USDA truck.
• Ensure good communication with sub-sites and timely collection of statistics for monthly reports.
• Perform site-inspections for sub-sites and assist in annual USDA/TEFAP trainings.
Additional Duties
• Make USDA deliveries, emergency food deliveries, pick up donations, assist with mobile pantry operations, and operate truck in support of HVA events.
• Other responsibilities as assigned by leadership.
