Description
We are seeking an entry-level Administrative Assistant to support the Rebuild Florida Housing Repair and Replacement Program (HRRP), which assists homeowners in rebuilding or repairing homes damaged by Hurricane Ian.
Primary Responsibilities:
- Welcome and assist applicants in the office
- Answer phones and manage incoming communications
- Schedule appointments and manage office calendar
- Prepare, format, proofread, and print documents, reports, and presentations
- Maintain electronic and physical filing systems
- Enter and update data accurately in internal systems
- Monitor and restock office supplies and maintain workspaces
- Coordinate meetings, webinars, and video conferences via Outlook and Zoom
- Prepare outgoing mail and create shipping labels
- Perform other administrative support tasks as needed
- High School Diploma or equivalent
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong attention to detail and proofreading skills
- Professional phone and email communication skills
- Comfortable working with diverse teams and individuals
- Ability to stay organized while handling multiple tasks
- Ability to troubleshoot and solve problems
- Willingness to occasionally work overtime
- Ability to lift up to 20 pounds and sit at a desk for extended periods
- Must be able to operate a motor vehicle safely
- Ability to travel up to 10%
- Position is based on site in HORNE office
