Description

We are seeking an entry-level Administrative Assistant to support the Rebuild Florida Housing Repair and Replacement Program (HRRP), which assists homeowners in rebuilding or repairing homes damaged by Hurricane Ian.

Primary Responsibilities:

  • Welcome and assist applicants in the office
  • Answer phones and manage incoming communications
  • Schedule appointments and manage office calendar
  • Prepare, format, proofread, and print documents, reports, and presentations
  • Maintain electronic and physical filing systems
  • Enter and update data accurately in internal systems
  • Monitor and restock office supplies and maintain workspaces
  • Coordinate meetings, webinars, and video conferences via Outlook and Zoom
  • Prepare outgoing mail and create shipping labels
  • Perform other administrative support tasks as needed


Minimum Requirements:

  • High School Diploma or equivalent
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail and proofreading skills
  • Professional phone and email communication skills
  • Comfortable working with diverse teams and individuals
  • Ability to stay organized while handling multiple tasks
  • Ability to troubleshoot and solve problems
  • Willingness to occasionally work overtime
  • Ability to lift up to 20 pounds and sit at a desk for extended periods
  • Must be able to operate a motor vehicle safely
  • Ability to travel up to 10%
