Summary: The sales and catering assistant will work with both the Sales and Events team by performing administrative duties to ensure the efficient and effective operation of the Sales and Catering Department.
Essential Duties:
Client Interaction
Respond to leads on-line, as assigned
Receive visitors and courteously handle inquiries and complaints or direct them to the proper manager for assistance.
Conduct site inspections as assigned or as needed
Cover days off for Sales Team
Financial
Process event deposits on Reserve program
Finalize event order by closing it in the Reserve program
Client billing, as assigned
Administrative Duties
Handle messages, tracers, e-mails, and other correspondence as received, and/or as assigned by the Sales Team
Data entry (menus, letters, templates, etc.)
Maintain customer database
Prepare for weekly Sales meetings
Hang event orders
Maintain accurate organized files and archived reports
Produce catering packets with menus, signage, place cards, event maps, etc.
Keep ample supply of wedding packets, general catering packets, and press packets on property
Maintain collateral at each front desk area of the property (JA/EC/VI)
Assist with marketing and email campaigns, event invites, etc.
Review e-mails for important content (ie: SCTB newsletter; SFCVB updates, etc.)
Online maintenance.
Group Liaison
Manage all hotel group arrivals and arrangements including but not limited to weddings, corporate groups, room checks and amenity delivery.
Rooming List Entry
Room Reservations and confirmation letters
Group Profiles for front desk
Qualifications:
Experience with ‘Reserve Interactive’ software is desired.
Self motivated
Professional appearance
Highly organized, detail-orientated, and an exemplary time manager
Excellent written and verbal communication skills
An exemplary service-oriented attitude and philosophy
Must be able to effectively work within a fast-paced and detail-oriented environment
Previous experience as an assistant in Sales & Catering desired
Computer proficient and experience with: Microsoft Office, Word, Excel required and Reserve Interactive software a plus.
