Hotel Anna & Bel, nestled in the vibrant Fishtown neighborhood of Philadelphia, seeks a dynamic and results-oriented Events and Experience Manager to join our team. Reporting directly to the General Manager, this critical role is responsible for managing and executing onsite events, ensuring exceptional guest experiences, and fostering connections within the local community. The ideal candidate will bring a strong background in event or catering management, a flexible schedule, and an unwavering commitment to excellence. A background in corporate or catering event management is strongly preferred.DescriptionKey Responsibilities
Event Sales & Lead Conversion
- Respond promptly to event inquiries, converting high-quality leads into confirmed bookings.
- Develop customized proposals and presentations tailored to client needs and expectations.
Event Planning & Execution
Oversee all aspects of event coordination, from initial planning to onsite management.Collaborate with clients to ensure their vision is seamlessly executed, providing expert guidance and recommendations.Coordinate with internal teams, including catering, operations, and front-of-house staff, to ensure flawless event execution.Manage relationships with external vendors while ensuring compliance with the hotel's guidelines.Contracting & Administrative Duties
Handle the contracting process, including proposal creation, negotiation, and agreement finalization.Maintain accurate records of event details within the hotel’s event management and CRM systems.Provide post-event follow-ups and collect feedback to enhance future offerings.Assist with editing small menu changes and designing display signs as needed.Networking & Relationship Building
Cultivate and maintain relationships with local vendors, event planners, and community organizations.Represent the hotel as a brand ambassador at community events and networking opportunities to increase visibility and referrals.Market Analysis & Reporting
Prepare and deliver regular sales activity reports, market feedback, and event performance metrics to the General Manager.Guest Experience & Quality Assurance
Ensure every event exceeds client expectations by delivering exceptional service and attention to detail.Serve as the primary client contact during events, addressing any issues promptly and professionally.Collaboration & Leadership
Lead BEO (Banquet Event Order) and resume meetings to align and communicate across all departments.Collaborate with the Corporate Director of Sales and Food & Beverage teams to ensure seamless event execution.Qualifications
Proven experience in event management or catering sales, preferably within the hospitality industry.Strong interpersonal and communication skills to build meaningful client and stakeholder relationships.Exceptional organizational, multitasking, and problem-solving abilities.Flexible schedule, including availability to work evenings, weekends, and holidays as required by events.Proficiency in event management software and CRM systems.Knowledge of the Fishtown area and its local businesses is a plus.Hotel catering experience is highly preferred.
