What are the responsibilities and job description for the Sales & Event Coordinator for Hotel Walloon Resort position at Hotel Walloon Resort?
Objective: The Sales & Event Coordinator is dedicated to planning and executing all corporate, transient, and wedding events in the Village of Walloon for Hotel Walloon, Walloon Lake Inn, Barrel Back, and the Talcott Event Venue. This position involves engagement with various businesses, outside vendors, and different types of clients at every venue. The goal is to successfully execute events that keep guests returning and drive new business to the village. This position will serve as the liaison between the guests and the village entities to ensure there is effective communication before, during, and after the event.
Duties & Responsibilities:
· Plan and execute events, including meetings, wedding ceremonies and receptions, rehearsal dinners, welcome parties, corporate retreats, and local village events
· Prepare and oversee all event documentation, coordinate with departments, and manage pre- and post-event activities to ensure service excellence.
· Communicate event details to the village entities and leadership in the form of a Banquet Event Order (BEO)
· Represent each entity as the venue coordinator and help oversee the setup and use of our banquet items
· Effectively communicate with clients the guidelines of each entity to ensure all rules are being followed while also thinking creatively to ensure clients' wishes are being fulfilled
· Assist the Director of Sales with leads and site visits
· Create diagrams and layout options for clients in a digital design program
· Help the Banquet Operations Supervisor to train and schedule bar and support staffing for events
Qualifications:
· Bachelor’s Degree in Event Management, Communications, Business, Hospitality Management, or similar field
· 1-2 years of experience in an event coordinator position or group sales position
· Excellent multitasking skills
· Critical thinking and problem-solving skills
· Strong communication and organization skills
· Proficiency in Microsoft Office
· Ability to work holidays, nights, and weekends as needed
Job: Hourly, Full-time. $25.00 - $28.00 per hour
