Summary Job Description
The Project Specialist is responsible for all work order and project management duties to include scheduling work as it relates to Roof Maintenance. Coordinate and properly communicate with Customers, Account managers, Operations Supervisors, and Management to assure all expectations are being met and to uphold our value of being the Choice. This position is an in-office position.
Essential Functions:

- Manage department schedule to include daily scheduling of crews and assigning work orders.
- Review daily time to verify hours worked and travel pay to correct inaccuracies when needed.
- Review completed work orders to ensure accuracy and edit as needed.
- Monitor all active work orders and their current stage is correct, paying special attention to in-progress work orders which require return trips.
- Communicate daily with field personnel, including emails and phone calls.
- Investigate customer complaints and take remedial action when necessary to assure the customers’ expectations are being met.
- Coordinate with AM’s on scopes of work, material orders and create purchase orders when ordering materials and equipment and deliveries with the field.
- Communicate with Safety team for proper job setup as needed.
- Occasionally make job-site visits as needed for proper job setup, a Houck vehicle will be provided during these times.
- Communicate with Warehouse Supervisor as needed for material orders and deliveries.
- Monitor job completion and advise AM’s so job billings can be timely.
- Attend weekly Roof Maintenance Operations Stand-up meetings.
- Attend bi-weekly Roof Maintenance meetings.
- As backup - processes leak work orders and projects through current service software platform.
- Coordinate contacting customers regarding scheduling as needed.
- Functions as part of an after-hours support system to receive and react to emergency calls as needed.
- Utilize existing software and other business systems to record, store and analyze information related to customers and projects.
- Provides backup to the Operations Supervisors as needed.
- Follows standard operating procedures for efficient business operations and ensures compliance with company standards and procedures.
- Assures customer’s expectations are being met.
- Stays current on roofing products, techniques, concepts and methods.

Work Environment
This job operates in a professional office “open cubicle” environment. The use of computers, printers, telephones, photocopiers, scanners, filing cabinets and fax machines is required.
Physical Demands
The described physical demands below must be met by an employee to successfully perform the essential functions of this job.
This position is mostly sedentary with some filing required. This requires the ability to sit for long periods of time, open filing cabinets, lift files and stacks of paperwork, bend and stand when necessary.
Typing on, operating and looking at a computer for long periods of time is also required. Operating and talking on the phone is required.
