Duties And Responsibilities
- Works independently on routine and assigned accounting tasks as directed. Delivers with timeliness, accuracy, completeness, and effectiveness, to the highest ethical standards, and by Generally Accepted Accounting Principles (GAAP) for non-profit entities and by the organization’s mission, values, and universal standards.
- Senior Staff Accountant will be responsible for reconciling the organization’s bank accounts every month, promptly, preparing cash adjusting journal entries for discrepancies between G/L and Bank statements,
- Ensure all credit card transactions are properly coded with sufficient backup. Use SAP Concur to process credit card transactions into Sage Intacct.
- Review and import payroll journals from Paychex into Sage Intacct.
- Ensure payroll coding is in line with grant and contract funding
- Prepare journal entries and account reconciliations for the month-end process.
- Record electronic deposits from online banking.
- Prepare and send out requests for payment vouchers from various government contracts and foundations.
- Prepare grant and contract revenue to record in Intacct and manage receivables
- Preparing a monthly receivable ageing report to track the outstanding grant and contract receivable balances and expedite their collection.
- Work with Thrift store staff to maintain monthly thrift reports, verify sales receipts, and other accounting needs including recording thrift deposits.
- Prepare quarterly sales tax reports and payments for the Thrift stores.
- Assist in the yearly Hour Children annual audit, NYSIF, and any other agency audits.
- Maintain a tracking spreadsheet and review the payroll pretax employees’ 401K contributions and employer matching contributions, and work with the Bookkeeper to ensure the transfer of these contributions to the Pension fiduciary company in compliance with ERISA regulations.
- All other duties as assigned.
- Bachelor’s degree in accounting required.
- Minimum three to five years of accounting experience to understand all general accounting functions. Experience in a not-for-profit organization is preferred but not required.
- Skilled with Microsoft Word, Excel, Outlook, Teams, or Zoom teleconferencing platforms as well as experience with standard office equipment.
- Knowledge of accounting and reporting software (such as SAGE Intacct, FundEz, Kindful, etc. with a preference to Sage Intact)
- Demonstrated experience in knowledge of accounting and practices for non-profits desirable.
- Experience preferred with grants management systems including working with New York City and New York State grants and contracts including reporting systems such as Passport, Grants Gateway, HHS, etc.
- Multi-tasker with excellent communication and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external A successful record in setting priorities; keen analytic, organization and critical thinking skills which support and enable sound decision making.
