ESSENTIAL JOB FUNCTIONS:
Perform receptionist duties in the Housing Authority front office: greet and receive clientele and general public; answer phone calls; answer general questions relating to the application and program process and eligibility; route calls to appropriate staff; transfer phone messages and calls to appropriate staff; filing; retrieve voice mail messages; take accurate, detailed messages and forward them to appropriate staff.
Complete detailed work order requests and forward to maintenance and the appropriate Housing Specialist.
Market Housing Authority programs to community agencies and the general public by emailing or mailing correspondence, flyers, and other informational documentation, and making phone contacts. Maintain outreach activity logbook.
Maintain Work Order Control Log.
Assist with online application input when waitlists are open.
Forward tenant complaints to appropriate staff.
Assist with bank deposit process.
Scan files as directed.
Process outgoing Portability documentation.
Handle money, make correct change, be personally bondable.
File or retain active and inactive files in accordance with records retention policy.
Attend regular meetings to discuss new approaches to better serve our clients and review new and current policies and procedures.
Assist other staff with assignments as necessary and perform other related duties required or assigned.
ABILITY TO:
Use general office equipment, such as computers, copiers, multi-line phones, scanners, and fax machines.
Perform data entry and keyboarding tasks for extended amounts of time.
Effectively serve the very low-income population, vulnerable citizens with special needs, persons with disabilities and persons with Limited English Proficiency (LEP).
Remain calm, open-minded, helpful, tactful, and professional under stressful and emotionally charged conditions.
Respect privacy and confidentiality of applicant/participant files and information.
Establish and maintain effective relationships with fellow employees, customers, property owners/managers and various service providers/advocacy organizations.
Perform detailed processes, accurate data entry, and file management functions.
Effectively organize work and understand systematic procedures.
Work independently with limited supervision, remain flexible, and exercise sound judgement.
Maintain regular attendance. Be punctual.
Read, write, and understand English.
Read, write, and understand Spanish.
Interpret and translate for staff, tenants, and applicants (English/Spanish).
Be able to drive an automobile and maintain a valid Washington Driver’s License.
Work overtime as required.
WORKING CONDITIONS
The majority of duties are performed in an office environment while sitting at a desk.
May be required to lift up to 50 lbs. (boxes of paper, file boxes, etc.)
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
