Executive Assistant
Housing Matters partners with individuals and families to create pathways out of their homelessness into permanent housing. We are a leader in working to end homelessness – and we want you to be part of our team! We are looking for individuals eager to make a difference and willing to enthusiastically commit to join in our vision that homelessness in Santa Cruz County should be rare, brief, and non-recurring.
As part of the Housing Matters administration team, the Executive Assistant is responsible for providing comprehensive support to the Chief Executive Officer (CEO), Board of Directors, and Executive Team. The Executive Assistant will work under the supervision of the CEO and will work closely with all members of the Executive Team.
Hours and Benefits :
- This is a full-time, non-exempt position, eligible for medical, dental, vision, 403b, and our generous PTO plan.
Wages : Hourly Pay Band :
31.35 - $32.92 - $34.57 - $36.30 - $38.12 - $40.03
Starting Hourly Wage (Depending on Experience) :

Education / Experience / Skill Requirements :
Bachelor's Degree or equivalent education and experienceStrong diplomacy and interpersonal skills with the ability to build relationships while maintaining confidentiality and demonstrating a high level of service and responsivenessAbility to handle and maintain sensitive and confidential personal and financial information with discretion and high ethical standardsExperience working in a professional environment with executives Excellent written and verbal communication skillsStrong research and analytical skills Proficient in Google SuiteProficient in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)Proficient in Adobe SuiteAbility to / Thorough Knowledge of :

Provide high-level administrative support to the Chief Executive Officer, including calendar management, drafting agendas, arranging itineraries, compiling meeting documents, creating, organizing, and maintaining accurate electronic Board-related files and folders, and other administrative tasks, as neededMaintain discretion and confidentiality regarding all Executive Team, Board of Directors and Chief Executive Officer initiatives and communicationsWork closely with the Chief Executive Officer, Executive Team, Community Engagement and Board communication and planningResponsible for all aspects of planning for Executive Team meetings, calls, retreats, and other gatherings including drafting and distributing agendas and other relevant materials, setting meeting dates, drafting and sending out calendar invitations, and managing all meeting logisticsAct as a liaison and provide support to the Board of Directors and Board Committees. Arrange and handle all logistics for Board meetings, and events : schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.Provide day-of meeting support to ensure the successful execution of all meetings for the Board, Executive Leadership, and other Board Committees.Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriatelyComplete a broad variety of administrative tasks that facilitate the Executive Team’s ability to effectively lead the organization, including : assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; and making travel arrangementsCoordinate all Executive Team meetings, and retreats and assist with staff meetings, management team meetings, and events as neededProvide hospitality to all guests and help to create a welcoming environment Invest in building long-lasting relationships both externally and internallyEqual Opportunity Employer / Protected Veterans / Individuals with Disabilities
