JOB SUMMARY
The Purchasing Manager is responsible for managing the procurement process for all food, beverage, and related supplies in a high-volume food and beverage operation. This role involves developing and maintaining relationships with suppliers, negotiating contracts, and ensuring the availability of quality products at competitive prices. The ideal candidate has experience in the food and beverage industry, excellent negotiation skills, and a strong ability to manage inventory levels and vendor relations.
KEY RESPONSIBILITIES
Vendor and Supplier Management:
- Identify, evaluate, and select suppliers to ensure reliable, cost-effective procurement that aligns with the company’s quality standards.
- Negotiate pricing, terms, and contracts with suppliers to achieve cost savings while maintaining product quality.
- Foster and maintain strong relationships with suppliers, managing performance and resolving any delivery, quality, or cost issues.
Inventory and Supply Chain Management:
- Oversee inventory levels to ensure adequate supply without excess, optimizing storage space and minimizing waste.
- Implement inventory control systems to track, forecast, and manage purchasing needs accurately.
- Collaborate with warehouse and operations teams to ensure proper handling, storage, and distribution of purchased items.
Cost Control and Budget Management:
- Develop and monitor purchasing budgets, implementing cost-saving initiatives to improve profitability.
- Analyze purchasing data to identify trends and opportunities for cost reduction or quality improvement.
- Review and approve purchase orders, ensuring all expenditures align with budget guidelines and purchasing policies.
Product Quality Assurance:
- Conduct regular product evaluations and quality checks to ensure all food, beverage, and supply purchases meet required standards.
- Monitor industry trends and seek out new or alternative products that offer value or enhance the operation’s offerings.
- Work closely with culinary and beverage teams to align product selection with menu requirements and quality expectations.
Policy and Compliance Management:
- Ensure compliance with company policies, food safety regulations, and local, state, and federal laws related to food and beverage purchasing.
- Implement purchasing best practices and policies to support operational goals and enhance overall efficiency.
SKILLS & COMPETENCIES
- Negotiation Skills: Strong ability to negotiate favorable terms and build positive vendor relationships.
- Attention to Detail: High level of accuracy in ordering, tracking, and managing inventory.
- Analytical Thinking: Ability to analyze purchasing data and trends to make informed decisions that align with company goals.
- Organizational Skills: Excellent ability to manage multiple priorities and adapt in a fast-paced, high-volume environment.
- Communication Skills: Strong written and verbal communication for clear interactions with suppliers and internal teams.
- Expertise in procurement systems: Proficient in utilizing procurement software and managing inventory systems efficiently.
- Advanced Excel skills: Highly proficient in using Excel for data analysis, budgeting, and reporting.
- Knowledge of food safety: Well-versed in food safety regulations and quality assurance practices to ensure compliance and high standards.
EDUCATION & EXPERIENCE
- 5 years of experience in purchasing or supply chain management, preferably in the food and beverage industry.
- Bachelor’s degree in Business, Supply Chain Management, Hospitality, or a related field is preferred.
