Position Overview
The Planner for the Hire Gulf Coast Youth Program will play a key role in coordinating and supporting youth outreach efforts for workforce development programs, including WIOA work experience opportunities and summer job placements. This position requires strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. The Planner will manage referrals, create reports, support youth and employers in using the youth portal, and help organize in-person hiring events. The ideal candidate will contribute to data analysis, identify process improvements, and act as a liaison between workforce solutions, youth customers, and employers.
What will I be doing?
ü Youth Outreach Coordination: Coordinate and support outreach efforts for workforce programs, including WIOA work experience opportunities and summer jobs. Engage with community partners, schools, and other organizations to promote program participation.
ü Referral Management: Manage, assign, and track youth referrals for workforce programs.
ü Reporting & Data Management: Generate and share reports with relevant staff and stakeholders, ensuring transparency and effective communication.
ü Youth Portal Support: Provide support to youth participants and employers in using the youth portal. Assist with troubleshooting any issues related to portal access or functionality.
ü Hiring Event Coordination: Coordinate in-person hiring events for youth participants, ensuring smooth operations and effective employer engagement. Promote events to ensure youth participation and employer involvement.
ü Data Analysis & Process Improvement: Analyze program data to identify gaps, trends, and opportunities for improvement. Provide recommendations on process improvements to enhance program efficiency and effectiveness.
ü Liaison Between Stakeholders: Serve as a liaison between Workforce Solutions, youth participants, employers, and other stakeholders, ensuring effective communication and collaboration. Address concerns, provide updates, and facilitate timely responses to inquiries.
ü Problem Solving & Communication: Identify challenges and issues within the program and collaborate with the leadership team to develop solutions. Communicate program changes, updates, and challenges to all involved parties, including youth, employers, and staff.
ü Meeting Coordination & Minute-Taking: Coordinate and facilitate program-related meetings, ensuring all necessary stakeholders are involved. Take meeting minutes, documenting key decisions, action items, and next steps.
ü Desk Aid and SOP Updates: Update desk aids, standard operating procedures (SOPs), and other program documentation as necessary to reflect current processes and best practices.
Qualifications:
ü Education: Bachelor's degree in social services, business administration, workforce development, or a related field (or equivalent experience).
ü Experience: Minimum of 2 years of experience in program coordination, data management, or related fields. Experience in workforce development or youth services is preferred.
ü Skills:
- Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, SharePoint, PowerPoint) and familiarity with data management systems.
- Ability to work collaboratively with diverse stakeholders, including youth, employers, and community organizations.
- Problem-solving skills and ability to work independently or as part of a team.
- Experience in workforce development or youth services.
