What will I be doing?
ü Collaborate with staff to understand specific meeting and event requirements.
ü Research venues and services for proposed meetings and events.
ü Source gifts, décor, etc. as needed for meetings and events.
ü Request proposals according to meeting requirements.
ü Provide presentations regarding available venue options, pricing, and services.
ü Conduct site visits of venues to determine functionality for each meeting or event.
ü Coordinate detailed services with venue staff including floor plans, menus, audio visual, entertainment, etc.
ü Negotiate pricing and services to meet budget requirements.
ü Review contracts and event orders for accuracy and process for signatures.
ü Maintain detailed budget for each event/meeting.
ü Attend all scheduled events to coordinate day of logistics and act as point of contact for venue staff, vendors, and sponsors.
ü Address all changes, requests or complaints by staff, event attendees or sponsors in a courteous and professional manner.
ü Build and maintain sponsor engagement through creative outreach initiatives.
ü Maintain and record receipt of sponsor donations and invoicing.
ü Coordinate sponsor recognition through receipt of sponsor logos and ads, placement on website and meeting materials, and event logistics.
ü Manage sponsor expectations at sponsored events through exemplary customer service to improve retention.
ü Other non-event related projects as assigned.

ü Excellent attention to detail, strong time management skills, and ability to think ahead and prioritize tasks when conflicting deadlines arise.
ü Exceptional ability to be flexible and adaptable while maintaining composure in the face of unexpected changes or challenges.
ü Strong interpersonal communication and writing skills.
ü High energy individual with a strong passion for customer service.
ü Proficiency in Microsoft Office Suite.
ü Working knowledge of Asana Project Management Platform.
ü Comfortable using social media practices to extend outreach.
Do you have…
ü Bachelor’s degree in an applicable academic discipline or related field of study.
ü 3 years of experience working with local government, nonprofit programs, school or in job related duties.
