Job Duties and Responsibilities
- Primary responsibility for ordering and receiving Veterinary supplies, monitoring inventory, and interfacing with vendors; must develop a strong working knowledge of the Zoo’s purchasing system and policies.
- Oversee master spreadsheets for all veterinary hospital equipment needs related to preventative maintenance, repair and/ or replacement, including darting, dental medical gases; anesthesia machines and annual services. With assistance from Purchasing department work with Veterinarians and or VP of Animal Operations manage all major equipment purchases and service contracts.
- Assists in reconciling outside laboratory invoices with services received in order to facilitate payments.
- Enter PO requests for major equipment purchases, repair service, special projects, and major laboratory services – TVMDL and MSI
- Assists Veterinary Department team by performing administrative and secretarial duties, including making appointments, arranging meetings, typing, filing, preparing documents, and other duties as assigned.
- Compiles data for use in a variety of reports, surveys, inventories and studies.
- Conjunction with Admin Asst. I coordinate department drills for Venomous snake bite, EEHV response, Code 99, Evacuation and Potent Drug Exposure. Work with Vets and VP of Animal Operations for protocol updates and revisions.
- Maintains safety standards including MSDS files and labeling. Department Safety Representative for Safety Council.
- Work with VP of Animal Operations to review and update clinic, quarantine, animal nutrition and pest control portions of HZI Hurricane plan. Work with staff on inventory and supply acquisition.
- With this veterinarian serving as radiation safety offices to ensure Veterinary Department maintains Health and Human Services/State of Texas Radiation Control Registration– submit payment every two years, set up Radiological survey testing every five years, and facilitate state remote or in person inspection every five years. Manage individual badges testing including shipping receiving and records management.
- Drug Disposal Services – coordinate proper disposal of standard pharmaceuticals and assist Director of Veterinary Services with proper controlled substance disposal.
- Submit renewals for veterinary technician state registration
- Manage disposition and disposal of animal carcasses for all of animal programs departments, including at minimum quarterly disposal. Work with registrars, curators and other staff to ensure proper permissions are documented for animals we do not own; maintain electronic necropsy log with this information. Assist curators as needed with disposition to museum or research laboratories
- Work with VP of Animal Operations to ensure accreditation standards are maintained throughout the year in the Veterinary, department and to ensure inspection readiness through proper documentation.
- Work with VP of Animal operations to fulfill any routine needs or special requests from Executive Team for assistance with AZA, WAZA, EAZA or other organizations.
- Assist in routine deliveries of samples to local laboratories and animal transports.
- Performs routine office duties such as ordering and receiving supplies, managing copiers, interfacing with vendors, etc. Will serve as back up for Admin Asst. II Veterinary Records for biological sample shipping, office supply orders in purchasing system, veterinary records data entry, tour support and professional visitor support including release and liability paperwork.
- Contributes to saving animals in the wild through: reduction of waste, water and energy use and inspiring guests and staff to take wildlife protecting actions (second to last bullet – before “other duties as assigned”)
- Performs other duties as assigned
- Bachelor's degree (B. A.) from four-year college or university; or minimum one-year related experience and/or training within a veterinary or medical setting or equivalent combination of education and experience in Business Administration or Liberal Arts.
