SUMMARY: The AP Specialist provides administrative and clerical support for the financial department, ensuring that vendors and subcontractors are paid in a timely manner.
ESSENTIAL FUNCTIONS:
· Enter and post AP invoices into Viewpoint daily
· Scan and appropriately file AP and subcontractor invoices
· Review, file and distribute certified payrolls and MEURs received from subcontractors to project owner
· Keep files updated for subcontract payment-related documents as needed and review weekly for payment eligibility
· Review and file subcontract certificates of insurance and request missing endorsements/documents as needed
· Collect and file credit card receipts
· Weekly AP check run
· Weekly Scan and file subcontract payment packets
· Prepare and upload monthly Paid Summary Report’s to ODOT/Doc Express
· Enter subcontracts into SL Worksheets (Viewpoint) for Project Managers (monthly)
· Reconcile VISA billing monthly. Track and request missing VISA receipts
· Reconcile vendor statements received
· Update and enter new vendor information as needed (address, payment method, insurance, W9, etc.)
· Prepare 1099 for tax filing
· Answer phone lines
KNOWLEDGE, SKILLS AND ABILITIES:
· Ability to anticipate needs and be self-directed
· Strong written and verbal communication skills
· Ability to interact well with constituents
· Strong office and time management skills
· Competent in payment processing, productivity software (spreadsheets) and accounting software (Viewpoint)
· Ability to work effectively in a team environment
QUALIFICATIONS AND REQUIREMENTS:
· Experienced in accounts payable
· Highly motivated and able to interact with multiple stakeholders
WORKING CONDITIONS:
