Overview :
The Administrative Assistant I for our office in downtown Austin will support facilities and administrative tasks, ensuring a seamless and welcoming experience for employees, vendors and visitors. Reporting to the facilities team, this role will be essential in maintaining office functionality and hospitality in the food service, janitorial and flex desk areas of the office.
Key Responsibilities :
Facilities Support : Work closely with the facilities team members to complete daily facilities and administrative tasks, ensuring a clean, organized, and efficient workspace. As well as other tasks and duties assigned as needed.
Supplies, Waste and Maintenance : Oversee trash removal, par levels and restocking of supplies in bathrooms, breakrooms, conference rooms and mother’s rooms, ensuring all areas are being stocked and ready for use through the partnership with the buildings Janitorial vendor.
Flex Desk Program Coordination : Serve as the primary point of contact for the flex desk program, managing workstation setups, storage cabinet organization / cleaning, and resolving employee inquiries.
Travel Coordination : Collaborate with the local Front Office Administrator (FOA) to gather traveler information and proactively reach out to employees planning to visit Austin HQ.
Conference Room Setup : Adjust conference room furniture, fixtures, and equipment (FF&E) to accommodate meeting requirements, ensuring layouts and setups are as needed.
Food Service Coordination : Coordinate with TEL’s food service provider, ensuring cleanliness in break rooms, assisting with the coffee, breakfast, lunch programs, and inner office catering services.

Proven experience in an administrative, facilities, or hospitality focused role.
Customer service focused with strong interpersonal skills.
Strong organizational skills and attention to detail.
Excellent communication skills.
Familiarity with Microsoft and other software solutions (Word, Excel, Powerpoint, Outlook, SharePoint, Teams, Box, One Note, Concur, SAP Ariba, Emaint, Adobe)
Ability to work effectively in a fast-paced, dynamic environment.
Familiarity with office operations and facilities management tasks is a plus.
Ability to lift objects weighing up to 50 pounds.
Required to be on your feet for multiple hours a day.
