Position Summary
The Admin/HR Specialist is an early member of HR and Office Management as part of a rapidly growing manufacturing team
Responsibilities
Oversee all aspects of office facilities, ensuring functionality, organization, and safety.
Serve as the point of contact for employees regarding office resources, policies, and procedures.
Support HR with onboarding/offboarding processes, workspace assignments.
Maintain accurate records of staff access to facilities and equipment distribution.
Maintain keys and access to doors and work areas.
Responsible for the use of intercom, phone, surveillance cameras, PA systems to communicate with internal members and external visitors.
Plan and coordinate company meetings, events, and visitor tours.
Manage logistics for employee travel and scheduling, as needed.
Incorporate company brand and professional image into applicable aspects of the workplace (e.g. space layout, stationery supply, swag and corporate gifts selection, etc.).
Coordinate with the press on behalf of the company for interviews, site visits, and filming/photography.
Support marketing, design, and sales personnel with assets, as needed.
Minimum Qualifications
Experience: 3 years of experience in office or facilities management
Education: Bachelor’s degree in business administration, operations management, or a related field.
Proven ability to manage dynamic work environments, preferably at startup companies.
Exceptional organizational, problem-solving, and multitasking skills.
Strong communication and interpersonal abilities to collaborate with diverse teams and external stakeholders.
Proficiency with Microsoft Office Suite
Preferred Qualifications
Multi-tasking skills in a fast-paced environment.
Proficiency in HR and Timekeeping software (we use ADP), QuickBooks, and ERP systems.
