Greenhaven Landscapes is hiring a Sales and Administrative Assistant to join our team in Ridgefield, WA.

 

Key Details:

  • Pay: $22-$26 per hour depending on experience.

  • Schedule: Full-time, 40 hours per week, Monday – Friday, with occasional flexibility needed.

About the Role: This is a vital administrative role focused on sales support and operational coordination. The Sales and Administrative Assistant works closely with the operations team to ensure the smooth flow of proposals, estimates, and client interactions. This role is ideal for someone with excellent organizational skills, a strong grasp of numbers, and the ability to manage data entry and systems efficiently.

 

Responsibilities include:

 

  • Proposal and Estimating Support:
    • Assist in creating accurate proposals and estimates.
    • Manage data entry, including cost codes and square footage calculations.
    • Collaborate with the operations team to ensure all proposal details align with project needs.
  • Sales and Client Coordination:
    • Respond to client inquiries and manage communication during the sales process.
    • Oversee timelines and ensure expectations are clearly communicated to clients.
    • Provide solutions for any delays or changes to project timelines.
  • Administrative Tasks:
    • Maintain cost categories, catalogs, and client records.
    • Enter proposals, change orders, and other project-related data.
    • Organize and support internal systems to ensure seamless workflow.
  • Team Collaboration:
    • Support the operations team with administrative needs.
    • Assist with IT and advertising-related tasks as required.

 

Qualifications: We are looking for someone with strong administrative experience, particularly in construction or landscaping. Ideal candidates should have:

 

  • Proficiency in Excel and experience with estimating, proposals, or bid writing.
  • Familiarity with cost codes, square footage calculations, and data entry processes.
  • Ability to manage multiple tasks, meet deadlines, and keep details in order.
  • Strong interpersonal skills and the ability to communicate clearly and professionally with clients and team members.

 

Preferred Experience:

  • Administrative work in a construction or landscaping company.
  • Experience using project management or estimating software.
  • Familiarity with operations support and proposal development.
