Job Title: Sales Coordinator
Pay Range: $45,000-$50-000 per year
Location: Prague, OK (In-Person)
Position Overview:
The Sales Coordinator supports the sales team by managing administrative tasks, coordinating sales activities, and ensuring seamless communication between teams, clients, and departments. This role requires strong organizational skills, attention to detail, and multitasking capabilities.
Key Responsibilities:
Sales Support
- Prepare sales materials such as proposals, presentations, and reports.
- Assist in creating client-facing emails and documents.
Scheduling & Logistics
- Coordinate meetings, events, and exhibits (e.g., conferences, client lunch-and-learns).
- Work with the Business Development Coordinator to register for events and sponsorships.
o Arrange hotel, car rental, and flight reservations as needed.
- Manage the sales team’s Outlook calendar and provide materials for scheduled events.
- Maintain logistics schedules to ensure timely delivery of team members and marketing materials.
CRM Management
- Update and maintain client and lead information in the CRM system.
- Export clients contact information for the GIS team.
- Coordinate account alias approvals with Accounting and update CRM accordingly.
- Track sales progress, log opportunities, and generate reports on performance and forecasts.
Communication
- Act as a liaison between the sales team, other departments, and third-party contractors.
- Manage projects with third-party contractors.
- Collaborate with the Business Development team on inquiries, opportunities, and updates.
Data Analysis & Reporting
- Analyze sales data to identify trends, challenges, and opportunities.
- Provide regular updates on sales metrics to the Vice President of Business Development.
Team Member Orientation & Training
- Prepare onboarding materials for new team members.
- Procure necessary equipment and supplies (e.g., iPads, office materials, apparel).
- Coordinate CRM and Bid Book access with IT and assist with new hire training.
Marketing Coordination
- Process and coordinate marketing and trade show material orders.
- Resolve order issues and research competitive marketing materials.
Inventory Management
- Monitor inventory levels bi-weekly and coordinate approvals for ordering.
- Ensure product availability and resolve stock issues.
Social Media Engagement
- Post updates on events and client activities.
- Engage with client and audience posts to represent the company positively.
- Create in-office content slides.
Budget & Expense Management
- Maintain the Business Development budget and provide monthly updates.
- Reconcile team credit card expenses and prepare reports for Accounting.
Team Coordination
- Update weekly meeting agendas and provide meeting notes as needed.
- Share updates on key topics discussed in team meetings.
Recruitment & Client Updates
- Use LinkedIn tools to monitor client activity and update CRM records.
- Research and recommend candidates for technical recruitment.
General Office Support
- Greet interviewees and visitors.
- Maintain office snacks and supplies.
- Assist with miscellaneous office tasks.
Qualifications
- High school diploma or equivalent; bachelor’s degree in business administration or related field is a plus.
- Proven experience in a similar administrative or coordination role, preferably in a sales or business development environment.
- Excellent organizational skills with strong attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Office 365) and CRM software (Microsoft Dynamics)
- Strong communication and interpersonal skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- A proactive and collaborative attitude, with a willingness to go the extra mile to support the team.
