Job Summary
The administrative/personal assistant will provide comprehensive administrative support to management and ensure the smooth operation of daily tasks. This role involves managing schedules, coordinating meetings, handling confidential information, and offering personal assistance to enhance the efficiency of the management team.
Responsibilities
- Provide comprehensive administrative support to management.
- Manage and coordinate schedules, appointments, and travel arrangements.
- Prepare and organize meetings, including agenda creation and minute taking.
- Handle confidential information with discretion and professionalism.
- Assist in managing communication, including emails and phone calls.
- Conduct research and compile data for various reports and presentations.
- Organize and maintain files and records.
- Perform general office tasks, such as filing, photocopying, and ordering supplies.
- Liaise with internal and external stakeholders on behalf of executives.
- Handle personal tasks and errands for management, maintaining a high level of efficiency and confidentiality.
Education and Knowledge
- High school diploma or equivalent; additional qualifications in Office Administration or related field is a plus.
- Two years’ experience as an administrative assistant or similar role.
- Experience working in a medical spa setting a plus.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficient in Google/MS Office suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize tasks effectively.
- Discretion and trustworthiness in handling confidential information.
- Attention to detail and high level of accuracy.
- Proactive problem-solving skills.
