Our client's Law Firm is dedicated to providing personalized legal services in areas including Bankruptcy, Mortgage Modification, Foreclosure Defense, Personal Injury, Family Law, Immigration, and Business Entities. We are seeking a professional, organized, and personable Bilingual Receptionist fluent in English and Spanish to be the welcoming face of our client's Hialeah office. The ideal candidate will manage front desk operations, facilitate effective communication between clients and staff, and ensure the smooth functioning of daily administrative tasks.
Key Responsibilities:
- Greet clients and visitors, ensuring a positive and professional first impression.
- Answer and direct incoming calls and emails in both English and Spanish, addressing inquiries or directing them to the appropriate personnel.
- Schedule and confirm client appointments, maintaining an organized calendar for attorneys and conference rooms.
- Assist with document preparation, data entry, and maintaining client files, ensuring accuracy and confidentiality.
- Ensure the reception area is in presentable.
- Facilitate the initial client intake process, collecting necessary information and documentation to support case evaluation.
- Manage incoming and outgoing correspondence, including mail, couriers, and deliveries.
Qualifications:
- Fluent in English and Spanish, with excellent verbal and written communication skills in both languages.
- Prior experience as a receptionist or in a customer service role, preferably within a law firm or professional services environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, scanners, phone systems).
- Strong interpersonal abilities, with a friendly and professional demeanor.
- Exceptional organizational and multitasking abilities, with attention to detail.
- Understanding of and commitment to maintaining client confidentiality and data protection.
- Ability to work full-time hours, with flexibility for occasional extended hours as needed.
- Experience with legal case management software or CRM systems is a plus.
- Knowledge of legal terminology and procedures relevant to our practice areas is also a plus.
