Our company is looking for an Office Admin Specialist to complete our Omaha team. We are a commercial laundry equipment distributor providing both sales and service over a multi-state territory. The Office Admin Specialist will be a key support person for our internal departments, front office as well as customer-facing interactions.
Full Time / Part Time- Hours can be flexible between full (40 hrs) and part-time (min 25 hrs) and scheduling is between Monday through Friday, regular business hours. All work is performed in the office. This is not a remote position.
Office work is performed predominantly in QuickBooks Online, Google Suite, and manufacturer specific websites.
No major medical insurance is offered.
Job Duties
- Answering incoming customer and manufacturer calls, resolving concerns as needed, and directing calls to the appropriate parties with the intent of first call resolution
- Greeting and assisting with walk-in customers and deliveries
- General receiving to include physically receiving parts and supplies, updating orders/POs, and invoicing customers for orders
- Pulling order requests, packaging, and shipping
- Payment processing
- Updating physical inventory and reconciling with inventory and pricing spreadsheets as needed
- Updating customer accounts and assist with customer account resolution
- Some collection calls may be needed intermittently
- Actively “working” company email boxes for customer and vendor communication for invoicing, credits, basic questions, shipping and handling requests
- Miscellaneous office duties and errands and support special projects as needed
Required Skills
- Knowledge of QuickBooks Online, willing to train the right candidate
- Knowledge of basic Accounts Receivable procedures
- Knowledge of internet searches and comfortable with basic technology
- Solid verbal and written communication skills; superior attention to detail
- Ability to work independently and prioritize tasks throughout the day; problem solving
- Must be able to bend, walk, and climb stairs and to reach, lift, pull, or push weight up to 45 lbs. unassisted
- Must have reliable transportation
- Dependability and punctuality are a must
- After being shown, must be able to use a pallet jack and open a dock door, if needed
- Must be comfortable in an industrial /warehouse setting
This position has much room for growth in learning and salary but only for the right individual. On the Job Training and manufacturer specific tutorials are part of the training process.
Training
- Manufacturer online tutorials to support industry language, parts, and function
- OJT with company subject matter experts
- Basic QuickBooks Online tutorials
