POSITION SUMMARY
The Service Parts Administrator is responsible for overseeing replenishment, ordering, organization, internal/external distribution of spare parts, and communication with internal and external customers at HUBLOT. This role is responsible to meet specifics of customer orders in a timely manner. Keeps products separated, organized and in good rotation. Monitors product quality frequently, reporting problems to mitigate issues.
ESSENTIAL JOB FUNCTIONS
- Manage distribution of straps and spare parts orders for boutiques, retailers, and end-customers.
- Maintains sufficient inventory through reordering to our manufacture in a timely manner.
- Handles relevant sections of communication channels (ex. Salesforce)
- Works closely with watchmakers to provide any parts necessary during a repair.
- Utilizes ERP/MRP systems, spreadsheets/Excel
- Assists with the preparation of monthly inventory.
- Follows up with parts missing for repairs and provides status report to Client Service teams.
- Creates a good organization system for all spare parts to ensure accuracy of inventory and maintain a good workflow.
- Assist with the preparation of monthly inventory.
- Prepares shipments to Switzerland of defective spare parts.
- Receives and checks spare part orders received from headquarters.
- Interacts with Client Service team to resolve customer issues related to spare parts matters.
- Other department-related projects as assigned.

- Hands-on individual who is self-motivated to work independently with minimal supervision.
- Ability to adeptly multitask and prioritize as necessary with strong attention to detail and follow through.
- Excellent oral and written communication skills.Demonstrated ability to respond to questions from managers, clients, and customers.
- Excellent follow up and time management skills.
- Becomes familiar with HUBLOT watch families and parts.
- Experience in inventory organization and replenishment of spare parts.
- Proficient in MS Office
- High school diploma or GED required.
- At least 2-5 years relevant work experience
