Position Summary

The School of Continuing Education and Workforce Development is an exciting and entrepreneurial office within the College, which offers a wide variety of non-credit classes, courses, seminars and training sessions for the community. These offerings are focused on revitalizing careers, upgrading skills and credentials, growing businesses and pursuing pastimes and passions. Additionally, the HCCC Center for Business & Industry (CBI) is the area leader in developing and delivering educational classes and programs for Hudson County’s businesses, organizations and individuals.

Reporting to the Assistant Vice President of Continuing Education and Workforce Development, the Program Coordinator interfaces with students, instructors, and other college departments to ensure that classes are scheduled and staffed, instructional offerings are of the highest standard, books and supplies are ordered, and the office is run professionally.? The position supports the department’s Assistant Vice President by providing customer service, registration coordination, and seeks to resolve student issues and concerns. Additionally, the Coordinator assists in developing and implementing new courses and programs based on community needs.

Summary Of Duties

Position Responsibilities

  • Research, develop, and implement courses based on community needs
  • Primary point of contact for instructors
  • Recruit instructors for various program areas
  • Collaborate with instructors to offer appropriate curriculums for CE students
  • Assists in researching teaching materials and acquiring those resources
  • Create class schedules, coordinate dates with instructors, book rooms
  • Assist in creating promotional materials for programs, use email marketing, social media, and various platforms to market programs
  • Update webpages with new program information as needed
  • Interfaces directly with students and the general public
  • Work with Customer Service to answer student questions and address issues
  • Provides speedy response to all student concerns and complaints
  • Works with instructors to schedule classes, complete paperwork, and address concerns related to student, administration, and programs
  • Collaborates on the forecasting and tracking of individual project expenses
  • Maintain financial records on all programs offered and report on associated data on a monthly basis
  • Participates in the preparation of status reports
  • Create assessment materials, collect, and manage data
  • Ensures integrity of course evaluation process; supports the Assistant Vice President as needed to meet with instructors to review course evaluations
  • Works with administration and oversees invoice processing, payroll, and completion of paperwork for check requests related to program areas and instructors
  • Maintains effective communications with other college departments with regard to scheduling classes, food and beverage needs, audiovisual requirements, etc.
  • Assists in marketing efforts for Continuing Education , including attending events such as farmer’s markets, street fairs, open houses, conferences, and other networking events
  • Ability to work a flexible schedule, where needed, to ensure appropriate coverage. Some weekend work and occasional evening work is necessary.
  • Assumes assigned day-to-day responsibilities of the Assistant Vice President when (s)he is out of the office
  • Performs related duties as delegated or assigned by the Assistant Vice President of Continuing Education/Workforce Development.

Specialized Responsibilities

  • Coordinates online and in-person Au Pair program and works with the business partner to create new courses, booking classrooms and venues (in-state and out-of-state) manage day-to-day activity, and student requests such as enrollment letters and certificates
  • Coordinates Culinary program, recruits chefs, collaborates on menu and food budget, markets courses, recruits students, work with the School of Culinary Arts to prepare kitchen supplies, creates schedules, reserve kitchens and cleaning services, and prepares kitchens for weekend classes when necessary
  • Performs outreach for Continuing Education at local events and represents career and personal enrichment programs such as the Cannabis program.

Position Requirements

  • Bachelor's degree required. Demonstrated experience in non-credit office, contract-training center, or related experience. Associate’s degree with 2 years experience may be considered in lieu of the Bachelor’s degree;
  • Proficient in Microsoft Office (i.e. Word, Excel);
  • Excellent written and verbal communication skills, organizational skills and the ability to multi-task required;
  • Ability to interact effectively with various HCCC departments and represent the College with external agencies.
