Administrative Assistant
Overview
Hughes Lumber Company supplies materials for residential home building and commercial projects in Oklahoma and Texas. The company headquarters is located at the Tulsa Port of Catoosa and supports local branches in 8 cities. The Administrative Assistant will support the General Office staff. The position will be on-site at the Port of Catoosa office and will be a day shift, non-exempt porotion.
Responsibilities
- Assist in monthly close processes including preparing multiple bank reconciliations
- Assist in the preparation of supporting schedules for the monthly financial statements
- Assist in the organization of the Accounting Department including scanning, filing, and boxing documents
- Assist Accounts Payable with document organization, preparation of items for payment, preparing and mailing payments, and other support
- Assist General Office staff with maintaining records of fleet maintenance, Department of Transportation compliance, renewal of vehicle registrations, and other fleet-related tasks
- Assist in preparing complete files for fixed assets
- Answer phones and greet and assist visitors
- Run various reports from the ERP system
- Assist the VP of Sales and Company President in making travel arrangements including air travel for multiple persons, hotel accommodations, group event planning, etc.
- Assist the VP of Sales in ordering and organizing company marketing materials including apparel, gifts, and swag
- Any other assignments related to the financial and administrative functions of the company
Required skills and qualifications
- Administrative Assistant must be reliable, organized, and responsible
- Must be a positive representative of the company at all times
- Must be efficient and resourceful
- Proficient in Microsoft Office suite of products, especially Microsoft Excel
- Ability to communicate with team members to gather data and solve problems

Job Type: Full-time
Pay: $25.00 - $26.00 per hour
