The Administrative Assistant plays a vital role in aligning with the practice’s business plan by managing tasks such as scheduling meetings, preparing presentations and client communications, and tracking new business correspondence. Responsibilities include responding to ad hoc requests, coordinating projects, and managing routine tasks like filing, copying, troubleshooting, and organizing client seminars.
We are seeking an organized and proactive Administrative Assistant to support our financial advisory team. This role combines business management, client service, and project coordination to ensure the efficient operation of our practice.
Key Responsibilities:
Business Management & Client Support (50%)
- Schedule and prepare agendas and documents for client appointments.
- Participate in client meetings, answer questions, and provide account-related information (as allowable).
- Conduct appointment reminders, check-in calls, and follow-ups.
- Draft correspondence for advisor signatures and managing office communication.
- Maintain and enhance the practice's online and local presence, implementing strategic recommendations.

High School Diploma or GED
1-3 years experience in an office secretarial position. Financial Advisory is plus!
* Perform routine administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.
* Create, maintain, and enter information into databases.
* Use computers for various applications, such as database management or word processing.
