JOB DESCRIPTION: PRINCIPAL’S SECRETARY
DEFINITION:
The position’s responsibilities include providing leadership for the school office, coordinating activities of a school office and to serve as a secretary to the school principal. It includes promoting positive public relations, providing a wide variety of services to students, staff and the public, and maintaining a wide variety of records.
ESSENTIAL FUNCTIONS:
Depending upon the individual assignment, the Principal’s Secretary may perform all or a combination of the following:
1. Serves as secretary to the site principal. Composes correspondence based on limited instruction or review. Formats and prepares a wide variety of correspondence, memoranda, newsletters, bulletins, forms, reports, records and other materials; duplicates and distributes materials; screens calls, maintains appointment calendar; schedules meetings; opens and routes mail.
2. Receives information and handles situations of a highly sensitive and
confidential nature.
3. Types documents and maintains files related to a variety of sensitive
actions.
4. Maintains a variety of detailed program records, such as budgets, student
accounts, enrollment, attendance and other administrative records for
revenue tracking, revenue generation and legal compliance; compiles data
and performs calculations; prepares a variety of reports.
5. Prepares and processes requisitions and purchase orders for the school
and Associated Student Body (ASB) program; orders supplies, materials
and equipment; processes, stocks and distributes materials.
6. Maintains Associated Student Body (ASB) accounts as directed.
7. Maintains records of money due and received from other sources.
8. Coordinates the work of school office personnel, student assistants and
volunteers assigned to the office; provides training and guidance; assigns
and reviews work.
9. Tracks a variety of deadlines to ensure timely completion and filing of a
variety of reports and responses.
10. Makes non-instructional decisions as needed during principal’s absence.
Promotes effective public relations with parents and the general public.
11. Receives and greets the public and staff personally and via telephone,
answers inquiries and makes appropriate referrals, takes and transcribes
detailed telephone messages.
12. Independently composes routine correspondence related to
responsibilities assigned.
13. Initiates and maintains a variety of files and records for information.
14. Maintains manuals and updates resource materials.
15. Locates, compiles and summarizes data for specific projects and
various reports.
16. Maintains inventory of necessary forms and supplies.
17. Types, proofreads and processes a wide variety of material including
reports, memos, statistical charts and general correspondence from
rough draft or verbal instructions.
18. Assists teaching staff with typing, correspondence, collating and copying.
19. Responds to routine correspondence by composing short letters, using
form letters, or making telephone calls as directed.
20. May provide first aid to ill and injured students; assesses need for
emergency assistance or parental contact; dispense medication as per
district policy.
21. Models appropriate and cooperative behavior, including protecting
confidential information, consistent with district ethical guidelines.
22. Attends pertinent workshops and training sessions.
23. Performs related duties consistent with the scope and intent of the
position.
DEMANDS OF THE POSITION:
Mental Demands:
Experiences frequent interruptions; required to deal with distraught or difficult parents and students; required to adapt to shifting priorities and to frequently re-channel work efforts; requires concentration and attention to detail.
Physical Demands:
1. Exposed to visual display terminal for prolonged periods; dexterity and
precision required in the operation of a computer; potentially exposed to
ordinary infectious diseases carried by students.
2. Must be able to exert 10 to 20 pounds of force to lift, carry, push, pull or
otherwise move object.
3. Work involves sitting most of the time, but will involve walking or standing
for brief periods.
4. Perceiving the nature of sound, near and far vision, depth perception,
providing oral information, the manual dexterity to operate business related
equipment, and handle and work with various materials and objects are
important aspects of this job.

QUALIFICATIONS:
1. Must possess High School Diploma or Equivalent.
2. Must pass district minimum competency test.
3. Education, training, skills and experience necessary to carry out the
assignment, including three (3) years of increasingly responsible office
experience involving records maintenance, accounting and customer
service. Experience dealing with school age children preferred.
4. Advanced training in secretarial procedures may substitute for the required
experience on a year-for-year basis; and other alternatives, such as AA
degree or CEOE, to the above qualifications that the district may find
appropriate and acceptable.
5. Ability to communicate effectively with students, staff and the public.
Effective customer service and public relations skills. Knowledge of
secretarial procedures. Knowledge of general bookkeeping procedures.
Ability to maintain accounting ledgers. High-level keyboarding and data
entry skills. Skill in operating a variety of office machines. Ability to
operate a computer and to demonstrate proficiency in use of
Word/Windows and Outlook. Ability to demonstrate a basic knowledge of
Excel and desktop publishing. Skill in correct grammar, spelling and
English usage. Ability to proofread and make corrections. Ability to
perform mathematical calculations. Ability to compose and format
correspondence. Ability to set up and maintain accurate files and
records. Ability to organize and set priorities. Required to maintain
confidentiality. Skill in office coordination. Ability to train others. Ability
to establish and maintain effective working relationships with students,
parents, staff and the public. Ability to handle emergency crisis situations.
6. Requires fingerprinting and background check to determine that there have
been no convictions involving physical molestation, abuse, injury or
neglect of a minor. Must complete training in and adhere to district
infectious control plan.
WORK YEAR AND HOURS:
201 work days per school year, plus paid vacation and holidays.
8 hours per day, 5 days per week.
SALARY AND BENEFITS:
Salary based adopted CSEA salary schedule, Range 19
Benefits paid according to Classified Employees Contract
