What are the responsibilities and job description for the Front Office Team Lead Full-Time position at Hughston Clinic?
Position Goal
Position purpose is to provide on-going education & training/oversight in regards to revenue cycle functions of the front office in an effort to enhance overall front- end efficiency. Maintains on call and scheduling calendars for physicians and ensure clinical operations efficiency.
Position Responsibilities

Responsible for supervising and training all front office staff and support personnel for the HMG revenue cycle; monitor effectiveness; implement best practice procedures.

Greets/registers patients, collects co-payments, deductibles and co-insurance; Provides this back-up support as needed to maintain adequate operational coverage of the front end.

Works as a liaison with clinical team to resolve complaints both internal and external.

Communicates effectively with the HMG billing department, insurance companies, and patients as necessary to resolve issues/concerns.

Coordinates training for front office employees on billing processes, insurance, etc.

Ensures that verification of insurance is complete and accurate, referrals verified and necessary information obtained on the front end to ensure smooth billing process.

Responsible for creation of budget and uploading budget as assigned; monitors office expenses, maintains inventory of supplies on hand. Effectively works budget variance on a monthly basis and assists in answering any questions associated with budgets.

Manages employee time and attendance in ADP system; advises employees on company protocol/procedures as needed.

Monitors and helps front office employees prioritize daily functions by completing batch reports activities and submitting daily deposits.

Works with clinical team to assist in addressing maintenance issues and complete request forms as needed to ensure timely corrections/improvements as needed.

Must accurately maintain physician call schedule per month, physician days off per month, all physician call logs and Clinic schedule communication to finance.

Oversees/responsible for front office records and process for petty cash.

Coordinates and provides for revenue cycle education/re-education and in-service training as determined by need.

Provides various reports for monthly HMG revenue related stats; monitors compliance with established revenue cycle metrics; develops and implements action plans as necessary for improvement.

Responsible for Compliance with HMG disciplinary program relating to front end operations. Holds disciplinary meetings as necessary, ensures corrective measures are in place as needed.

Conducts monthly meeting with staff/coordinates meeting to address both front end/clinical agenda item(s). Ensures follow up and compliance as necessary.

Maintains strictest confidentiality.
Experience: 2 years in a medical office setting required.
Education:
High school diploma or equivalent required.
Higher education in relevant field preferred.
Special Qualifications:
Must be able to work independently.
Knowledge of HIPAA required.
Must have a valid drivers license and a satisfactory Motor Vehicle Record (MVR)
Requires extensive understanding of HIPAA guidelines.
