Position Summary:
The Bookkeeper/Administrative Assistant position is responsible for providing daily bookkeeping tasks and administrative office support, ensuring that HSCI adheres to best practices and requirements for non-profit business operations and reporting.
Confidentiality, efficient time management, excellent organizational and communication skills, attention to accuracy, and hands on experience with Quickbooks software are essential qualifications for this position.
Primary Responsibilities
- Complete essential tasks using Quickbooks software including deposit entries, Accounts Payable, and monthly reconciliations in accordance with HSCI’s policies and procedures.
- Sync credit card transactions daily from Bonterra and ShelterLuv software to Quickbooks
- Maintain the general ledger in QuickBooks
- Provide information to the Executive Director, Board of Directors and external accountant in a timely manner for purposes of preparing reports and financial statements
- Maintain an accurate and organized file system
- Prepare reports for the Executive Director and other HSCI leaders, ensuring timely compliance with local, state, and federal government reporting requirements
- Provide administrative support to the Executive Director and Event Coordinator as needed
- Check inventory, order, and purchase office supplies as authorized by the Executive Director.
- Position may require working additional hours outside of a standard schedule during peak fundraising times
Qualifications
· Bachelor’s degree in accounting or business administration preferred
· Minimum 3 years’ experience working with Quickbooks software
· Basic knowledge of non-profit bookkeeping and generally accepted accounting principles
· Demonstrated written and verbal communication skills.
· Strong organization and multi-tasking in a fast-paced environment
· Proficiency in the use of computer and technology software/programs (e.g., Microsoft Office – Word, Excel, PowerPoint; database management software, intranet, social media, etc.)

Founded in 1984 the Humane Society of Central Illinois (HSCI) is a 501(c)(3) not-for-profit animal welfare organization serving the Bloomington-Normal community and surrounding areas. Working in partnership with our community, we care for, house, and provide adoption services for animals who are looking for their forever homes. Over 1,000 animals are helped annually due to the support of individual donors and volunteers who dedicate countless hours to support our mission.
At HSCI, all animals are treated with compassion and respect. The shelter serves as a haven for homeless animals and an uplifting destination for all pet-lovers and their families, providing services dedicated to the public including adoption, education, and outreach programming. HSCI has taken a leading role in driving a regional response to the crisis of unwanted and homeless animals by establishing formal relationships with local animal shelters and other rescues, accommodating animals for adoption that might otherwise be euthanized.
