PURPOSE & SCOPE OF POSITION
The Veterinary Customer Support Specialist serves as the first point of contact for clients and their pets. Under the supervision of the Customer Service Supervisor and Lead Veterinary Technician, this position plays a vital role in delivering exceptional client experiences, ensuring efficient check-in/check-out processes, processing payments, and providing essential education about the clinic services.
QUALIFICATION REQUIREMENTS:
Education
- High School Diploma or Equivalent: Basic educational requirement; additional certifications in customer service or veterinary assistance are a plus.
Experience
- Customer Service Experience: Typically 1-2 years in a customer-facing role; prior experience in a veterinary or healthcare setting is highly desirable.
Skills
- Communication Skills: Excellent verbal and written communication, with the ability to interact effectively with clients and staff.
- Interpersonal Skills: Strong ability to build rapport with clients and provide compassionate, friendly service.
- Organizational Skills: Proficient in multitasking, prioritizing duties, and managing time effectively in a fast-paced environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with veterinary software systems preferred; basic computer skills are essential.
- Problem-Solving Skills: Ability to handle client concerns and resolve issues calmly and effectively.
- Attention to Detail: Accurate data entry and meticulous record-keeping.
- Bilingual Ability: Proficiency in English and Spanish (spoken and written).

KEY RESPONSIBILITIES:
- Warmly and professionally greet clients and their pets upon arrival.
- Efficiently manage the check-in and check-out process, ensuring accurate collection of all necessary information.
- Process payments accurately, handling cash and credit transactions with care.
- Educate clients on spay and neuter services, preventative care, and clinic resources.
- Actively solicit sales and donations for additional services.
- Respond to phone inquiries with friendliness and expertise.
- Address client concerns promptly and maintain a positive attitude in resolving issues.
- Collaborate with veterinary staff to facilitate smooth operations and deliver excellent client service.
- Translate and communicate effectively with Spanish-speaking clients.
- Maintain Daily Sales Reports (DSRs) and submit them promptly to the Finance Department.
- Keep the clinic area clean, organized, and welcoming.
