Position Summary:

The Community Engagement & Events Coordinator is a multifaceted role responsible for overseeing community relations efforts, event management, and corporate partnerships within the IndyHumane Development Department. This position serves as the public-facing representative of IndyHumane, promoting its programs, values, and mission at various public and private events. Additionally, the Coordinator is tasked with oversight of fundraising events, corporate sponsorships, and third-party engagement initiatives.

 

Essential Position Duties & Responsibilities

  • Develop and execute strategies to increase community and corporate engagement, as well as annual operating revenue.
  • Work with the Director of Events and Corporate Relationships to Coordinate all fundraising events, including recruiting steering committee members and soliciting sponsorships, and overseeing event logistics and budgets.
  • Coordinate third-party and community engagement opportunities, including communication with external organizations and scheduling of IndyHumane's participation in events, including PetSmart and Petco onsite adoption events.
  • Maintain systems for prospect research, corporate cultivation, solicitation, and stewardship, while ensuring accurate tracking of event income and sponsorships.
  • Serve as a liaison to external groups, such as Indy Professionals Advocating for Animal Welfare, to ensure fundraising goals are met.
  • Develop a working knowledge of IndyHumane's operations, mission, and strategic plan, advocating for the organization as needed.
  • Attend regular development team meetings, all-staff meetings, and other relevant meetings as required.
  • Collaborate with the development team on additional projects and initiatives as needed.
  • Respond to all Pet Adoption Wagon (PAW) inquiry and invitation requests, coordinating staff, resources, and volunteers as needed.
  • Drive the PAW vehicle to events, ensuring its cleanliness and maintenance.
  • Maintain a list of possible PAW and other outside engagement opportunities and educate and fundraise with various community groups.
  • Collaborate with the Director of Corporate Relations and community outreach to fulfill corporate requests for PAW events.
  • Coordinate and update the PAW calendar internally and on the IndyHumane website.
  • Coordinate animal selection and adoption for each PAW visit, recording outcomes in the PetPoint database.
  • Host tours for corporations, schools, and other organizations, enhancing shelter relationships with other nonprofits and organizations.
  • Manage event signage, giveaways, and inventory.
  • Provide Kennel Sponsorship updates for both individual and corporate sponsors.
  • Other assigned duties as needed.

Abilities required:

  • Ability to handle multiple projects and deadlines effectively.
  • Well-organized and detail-oriented with the ability to see the big picture.
  • Capacity to review data, analyze trends, and provide timely reports.
  • Ability to function effectively in high-stress situations and maintain composure under pressure.
  • Excellent interpersonal skills, with the ability to relate to diverse constituencies.
  • Self-motivated, energetic team player with a commitment to the mission of IndyHumane.
  • Flexibility to work evenings and weekends as required.

Qualifications

  • Bachelor’s Degree or equivalent experience and a minimum of two years of event planning or management experience.
  • Understanding of marketing and a donor-centric approach preferred.
  • Experience in corporate engagement activities and volunteer management preferred.
  • Strong writing skills and ability to communicate clearly and concisely.
  • Proficiency in Microsoft Office software required, knowledge of Adobe Photoshop and InDesign a plus and Canva Pro.
  • Experience with electronic database management preferred.
