The Stewardship Assistant implements the organization's donor acknowledgment and stewardship plan to enhance and strengthen supporter relationships of all levels and build a culture of gratitude. Perform a variety of support functions to ensure that donors are appreciated, informed, and engaged.

Key Duties and Responsibilities

  • Edit and organize donor lists for stewardship mailings.
  • Answer, assist, and route phone calls and voicemails for the Philanthropy team.
  • Work with volunteers to complete donor thank you cards, including readying supplies and scheduling pick-up.
  • Assemble and mail welcome packages for new monthly donors.
  • Assist Donor Database Specialist with weekly gift acknowledgements in a timely and accurate manner.
  • Responsible for Facebook/social media donor research and thank you notes.
  • Track, organize, and maintain monthly donor data in Raiser's Edge, MailChimp, and Qgiv.
  • Communicate with monthly donors to retain and update information.
  • Provide general administrative support to team members as necessary and work in collaboration across departments to support the stewardship efforts of the office.
  • Support the Receptionist and the Executive Communications Manager in answering the business office door, directing patrons, and helping with deliveries as needed.
  • Assist the stewardship team with photographing, filming, and story gathering for donor communications.

  • Commitment to the mission, values, goals, and success of HSPPR.
  • Appropriately document observed animal behaviors utilizing objective language as required in relevant procedures and/or policies.
  • Perform all other duties as assigned.

Physical Demands

  • Regularly sits at computer station, often in a shared office space.
  • Must be able to lift, push, and pull a minimum of forty pounds with reasonable accommodation.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.

Schedule Requirements

  • Full-time/30 hours
  • Temporary position from approximately 4/28/2025 through approximately 08/04/2025
  • Schedule will include hours on Monday through Friday each week
  • May occasionally include evening and weekend work
  • work is done fully on-site (no remote or hybrid work available)

Education/Experience Necessary:

  • Ability to effectively read, write, interpret, communicate, perform basic problem solving, and perform basic math as commonly expected from completion of a High School Diploma or Equivalent Education.
  • Some development/philanthropy experience preferred.
  • Strong customer service, communication, and interpersonal skills.
  • Computer expertise and high proficiency with Microsoft Office software, data entry, and reporting.
  • Ability to create, compose, and edit written materials.
  • Attention to detail and the ability to prioritize and execute projects while meeting deadlines.
  • Ability to initiate and complete projects and provide donor support with little supervision while exercising good judgment.
  • Sound judgment and ability to exercise complete discretion when dealing with confidential information.
  • Animal welfare and handling experience is a plus.

As a condition of employment with HSPPR, you will be required to authorize HSPPR and ProScreening to conduct a background check before confirming an employment start date. The background check will include a criminal investigation, verification of citizenship/immigration status, and a motor vehicle record.
