Responsibilities:
- Responsible for all Centralized Account Processing System and Enterprise Payment System tracking; to include setting up and reconciling of charges and weekly reporting and analysis;
- Track invoices processed for payment according to contract guidelines, audit tax charges and provide weekly reporting;
- Manage back end premium selections and provide a selection of images/artwork to vendors for use in marketing materials;
- Interview internal stakeholders, external experts, and observe current processes to develop and maintain business rule documentation between the organization and fulfillment vendor. Manage meeting structure with the vendor regarding daily activities, status updates, volume projections, inventory needs, etc.;
- Provide a selection of images and maintain a file of artwork to license with vendors.;
- Develop reports based on analysis of projected inventory needs and upcoming direct marketing campaigns;
- Manage outsourced fulfillment vendor relationships and act as primary liaison between the organization and vendors;
- Assist with management of the staff e-store, including vendor contracts and oversight on product inventory. Provides recommendations to the Brand and Visuals team on new products and other store improvements;
- Manages direct mail marketing programs from inception to completion while cultivating existing and new vendor relationships, contracts, and production schedules with printer, display manufacturers, and apparel and collateral vendor partner. Work within established budgets and timelines for multiple projects, procure estimates from vendors, review, process and track project invoices with oversight of the Senior Production Director to ensure they align with contracted pricing;
- Enforces deadlines, coordinating proof edits and mailing lists, collecting final print-ready files and ensuring accuracy and quality of all projects;
- Release the final direct mail art to vendors, upload to File Transfer Protocol (FTP) sites, and coordinate file delivery. Monitor scheduling and delivery of digital and printed proofs, route printer proofs to the DM team as warranted to ensure consistent quality and color across all projects. Assist with finalizing designs and ensuring they are print-ready;
- Performs other duties as assigned.
- High school diploma or equivalent required. Bachelors’ Degree in Business Administration, Production and Operations Management, Communications, or other applicable field, or equivalent work experience strongly preferred;
- A minimum of four (4) years of experience coordinating complex business processes, preferably in a nonprofit environment;
- Previous print production experience desired. Prior fundraising print and production and or related marketing experience a plus;
- Ability to act as a consistent advocate for animal welfare and maintains a high level of customer service attitude when dealing with people within and outside of Humane World for Animals;
- A strong belief and champion of delivering outstanding donor service, goes above and beyond to satisfy a customer;
- An aptitude for problem solving and identifying creative solutions to overcome various complex print, fulfillment, and donor communication challenges;
- Strong logic and critical thinking skills;
- Strong verbal and written communication skills;
- Ability to work independently and manage time effectively;
- The ability to build/foster relationships by reinforcing trust and respect, and demonstrating high standards of tact, diplomacy and discretion;
- Proficient in Microsoft Office program environment;
- Knowledge of Visio or other workflow documentation software;
- Familiarity with donor database systems a plus;
- Must be able to travel.
