About You and the Role

The Payroll & Benefits Specialist will provide payroll and benefits administration support to a diverse range of clients across various jurisdictions and industries in the United States. The ideal candidate will possess strong problem-solving skills, enabling them to develop and implement tailored solutions for complex payroll issues across multiple platforms, ensuring compliance with all relevant legislative requirements across different jurisdictions. You will bring exceptional attention to detail, outstanding written and verbal communication, strong organizational skills, and data analysis capabilities are essential for this role.

We are looking for a Tampa, Florida-based, Austin, Texas-based or Nashville, Tennessee-based Payroll & Benefits Specialist to join our team. This position is primarily remote, with some onsite (up to 5%) support at various client sites. As such, local and international travel may be required from time to time based on business needs.
What You Will Do
Payroll Management
- Collaborate with HR Business Partners and various clients to support their payroll needs.
- Process payroll for multiple multi-state clients, meeting payroll deadlines and ensuring compliance with local, state and federal requirements.
- Enhance operational efficiency by recommending payroll process improvements that leverage industry best practices.
Benefits Management
- Oversee the administration of employee benefits, including orientation, enrollment, and termination.
- Design, implement, and optimize new benefits plans that align with industry best practices and client needs.
- Audit and approve monthly benefits invoices, ensuring accuracy in employee deductions and employer contributions.
- Work closely with vendors and brokers to negotiate benefits offerings and improve cost efficiency.
Compliance
- Ensure compliance by staying informed of changes to employment laws and regulations related to payroll and benefits.
- Conduct regular audits of employee payroll records and benefits enrollments to ensure compliance and accuracy.
- Manage compliance with 401K, COBRA, HIPAA, FLSA, ERISA, FMLA, and other leaves of absence requirements.
- Process and prepare payroll tax deposits, quarterly 941 reports, and state withholding reports.
Software Management
- Review and manage HRIS and payroll software, ensuring data accuracy.
- Lead the implementation of new payroll and benefits software where necessary to enhance operational efficiency.
Who You Are
- A minimum of 3-5 years in a Payroll & Benefits Specialist role, processing multiple multi-state payrolls.
- A degree or diploma in Human Resources, Business Administration, or related field with a focus on Payroll and Benefits.
- Professional HR designation (SHRM) or payroll certification is an asset.
- HR Compliance: Well-versed in respective Employment legislation, and other relevant regulations (Health and Safety, Pay Equity, Accessibility Act, Worker’s Compensation, etc).
- Payroll Compliance: Thorough knowledge of employee benefits including 401K, COBRA, HIPAA, FLSA, ERISA, FMLA, and other leaves of absence requirements.
- Data Analysis: ability to analyze data, documents, reports, etc., with meticulous attention to detail.
- Technology: Experience with HRIS and Payroll Software, such as ADP (Workforce Now), Paylocity, Rippling, Insperity, Gusto, Bamboo HR etc. Payroll implementation is an asset.
- Payroll: Experience processing payroll for multiple clients across numerous jurisdictions and platforms.
- Benefits Administration: Experience managing employee benefits programs including health, dental, retirement and other plans with a proven ability to manage high-volume requisitions efficiently and accurately.
- A true passion for HR: Staying up to date with trends in the market and having an interest in how HR will evolve 10 to 15 years from now.
- Organizational skills: Clients rely on our team to be very organized and efficient in their approach to solving the client's problem and implementing the solutions.
- Time Management: Self-motivated and flexible to meet client needs, deadlines and time management budgets.
- Communication and Interpersonal Skills: Our team interacts with many of the client's employees at various levels of the organization and must provide exceptional and professional customer service at all times.

- Total compensation up to $72,500 - $88,000 annually, a combination of base salary ($65,000-$80,000) and annual performance-based bonuses.
