Position Summary :
HumanKind HR is looking for an Executive Support Officer to join our growing, energetic, and innovative team. The Executive Support Officer will provide comprehensive administrative, project, and operational support to Chief Executive Officer.
Role Accountabilities :
Calendar Management : Scheduling meetings, appointments, and conferences and ensuring timely reminders
Correspondence Management : Drafting emails, letters, and presentations on behalf of the Chief Executive Officer, managing incoming correspondence, and routing important documents
Administrative Support : Handling phone calls, managing incoming mail and
email, maintaining filing systems, and handling basic office tasks
Meeting Coordination : Preparing meeting agendas, distributing materials, taking minutes, and following up on action items
Operational Support : Provide support with the operations of the business including updating and revising organization processes, preparing key performance metrics reports, and assisting with daily office operations management
Travel Arrangements : Booking flights, hotels, and transportation, preparing travel itineraries, and managing expense reports
Research and Analysis : Gathering information, compiling reports, and conducting research as needed
Project Management : Assisting with project planning, tracking progress, and ensuring deadlines are met
Confidentiality : Protecting sensitive information and maintaining discretion regarding executive matters
Qualifications :
- Bachelor’s Degree required, minor or concentration in human resources preferred
- Excellent communication and interpersonal skills, including the ability to interact with diverse stakeholders
- Strong organizational and time management skills to prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools
- Detail-oriented with a high level of accuracy
- Ability to anticipate needs and proactively address issues
- Professional demeanor and strong work ethic
- Discretion and ability to handle confidential information
