Job Title : Events Coordinator
Duration : 12 months (Possible extension)
Location : Henderson, NV 89104
Schedule : Monday-Thursday, 9 AM - 1 PM (Flexible schedule based on event date & times)
Summary
The Events Coordinator is responsible for organizing both on-site and external public-facing events to enhance business growth. This role involves coordinating and executing all event aspects, sourcing leads, and partnering with local businesses for marketing efforts.
Responsibilities
Lead on-site tastings, trade events, and holiday events.
Build relationships with local hotel and casino concierge services to promote chocolate and wine tastings, as well as off-strip activities for hotel guests.
Partner with the Flagship leadership team to manage the Las Vegas tourism bus schedule, recruit new tourism groups, and promote the Flagship store / Cactus Garden as a destination.
Organize facilities and manage event details such as d cor, catering, entertainment, transportation, venue selection, guest lists, and promotional materials.
Meet with clients to discuss event details, assist in planning, scout and book locations, and coordinate all logistical aspects.
Prepare presentations and conduct site inspections for prospective clients.
Source and manage vendor relationships.
Maintain knowledge of facilities, including the Cactus Garden, factories, venue spaces, and the Flagship Lounge.
Develop detailed timelines, manage event budgets, and allocate funds appropriately.
Conduct post-event analysis, gathering feedback and conducting after-action reviews to improve future events.
Requirements
Minimum of two years of experience in event management and / or hospitality.
Knowledge of the Las Vegas special events market and convention calendar.
Ability to secure vendors based on client needs.
Sales and / or CRM experience preferred.
Catering experience preferred.
Events coordination experience preferred.
Ability to work independently with minimal supervision.
Strong ability to cold call and generate leads for event business.
Proficiency in MS Word, Excel, PowerPoint, Outlook, and Monday.com for communication, planning, budgeting, and event organization.
Negotiation skills to develop contracts and pricing with clients and contractors.
Excellent communication skills to ensure clear and concise coordination with clients, vendors, and internal teams.
Customer service-oriented approach with a focus on enhancing the guest experience.
Strong problem-solving skills to address and resolve issues efficiently during event planning and execution.
Exceptional organizational skills to manage multiple tasks and prioritize effectively.
