Description
We are looking for a dedicated professional to directly support 4-5 attorneys through the performance of administrative and clerical duties. HunterMaclean’s practice groups are broken down into 3 categories: Litigation, Corporate, and Real Estate.
Our firm is technological centered. Employees are required to attend continuing skilled based training with our in-house trainer. We are actively looking for employees who will proactively use the technology and other firm resources available to problem solve and continue to improve their work.
Duties:
· Handles all billing - Acts as a liaison between accounting and the attorneys to get bills sent out in a timely fashion and maintains files of bills for each attorney;
· Initiates workflows for new client/matter openings, engagement letters, conducts background checks, and has accounting run conflict checks;
· Assemble closing documents working closely with assigned paralegal;
· Heavy formatting of contracts and other documents;
· Schedules appointments for attorneys; arranges for conference room and/or refreshments;
· Maintains calendar for attorney; Dockets due dates on calendars; Keeps the attorney on track for upcoming events;
· Proofreads all documents for spelling, formatting, and grammar; Maintains a high level of computer skills to make content edits and any format changes;
· Prepares documents for mailing — making sufficient copies for files, preparing envelopes, mailing labels, certified mail documentation, Federal Express or Express Mail, hand delivery, etc. and making sure all enclosures and attachments are included;
· Digitally files all correspondence and documents in appropriate client files, maintains files;
· Answers the phone and takes action based on the specific request of the attorneys;
· Retrieves mail for attorneys;
· Prepares forms to request checks from accounting;
· Readily utilizes other resources in the firm to avoid any delays to efficiently complete the work;
· Other duties as assigned.
Required Skills:
· Minimum 3-5 years legal assistant experience;
· Willingness to work in a team environment to ensure coverage is provided for all attorneys;
· Strong problem solving skills;
· Is proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
· Strong organizational skills;
· Excellent client service (both internally and externally);
· Strong communication (both verbal and written);
· Positive attitude;
· Willingness to learn;
· Self motivated to grow and advance in their career with HunterMaclean;
Job Type: Full-Time in person
Benefits: Paid Time Off, Full benefits package, 401(k) with matching
Schedule: 7.5 hour day shifts Monday-Friday
Pay Range: $50k-$58k
